Role Overview
The Material and Security Manager owns the physical custody chain at Colo Techxpert Solutions (CTS) and Colo Enviro Labs (CEL). The role controls every consumable, chemical, tool, instrument and machine that moves between the central store, client data centre sites and vendors, and is accountable for the safety and security of CTS personnel and assets at those locations. Stock accuracy, gate pass discipline at client premises, equipment availability and zero-loss operations sit with this role.
Responsibilities:
1. Material Planning and Procurement Support
- Consolidate site-wise indents for consumables, chemicals, PPE, spares and tools into a single monthly requirement plan mapped to live work orders.
- Maintain minimum and maximum stock levels for all quick-moving items and raise purchase requisitions before stock touches the reorder level, not after a site runs dry.
- Obtain and compare a minimum of three vendor quotations for every non rate-contract item and submit the comparison statement to management for approval.
- Verify all incoming material against the purchase order for quantity, specification, batch, MSDS and shelf life before accepting GRN.
2. Store and Warehouse Management
- Run the central store on FIFO with defined bin locations, unique item codes and a live stock card for every SKU.
- Store chemicals in segregated, ventilated racking as per MSDS, with secondary containment, spill kits and correct labelling at all times.
- Conduct weekly cycle counts and a full physical stock take every month, reconcile against system stock and report every variance with a written reason.
- Keep stock valuation, ageing and slow-moving reports current for management review.
3. Site Material Movement and Gate Pass Control
- Issue material to sites only against an approved issue slip mapped to a work order or job card, signed by the receiving Site In-Charge.
- Raise returnable and non-returnable gate passes for every movement into and out of client data centre premises and close returnable passes within validity.
- Coordinate with client security, facility and store teams for material entry approvals, vehicle passes and inward inspection ahead of mobilisation.
- Maintain a live tracker of material and equipment lying at each client site, with ageing and recovery status.
4. Asset and Equipment Custody
- Maintain the master asset register for all machines, imported equipment, tools and instruments with unique asset ID, custodian, location and value.
- Hand over and take back equipment against signed custody records at every site mobilisation and demobilisation.
- Schedule preventive maintenance, calibration and insurance renewals in advance and keep equipment downtime within the agreed target.
- Investigate every case of damage, shortage or loss and submit findings with root cause and a recovery recommendation.
5. Security and Loss Prevention
- Control physical access to the store and yard, including key custody, CCTV coverage and after-hours entry records.
- Run surprise checks on material issue, scrap movement, vehicle loading and site consumption against booked quantities.
- Investigate pilferage, substitution and misuse, and submit written findings with evidence and recommended action to management.
- Release scrap and condemned material only against an approved disposal note with weighment and buyer record.
6. Personnel Safety and Access Compliance
- Verify background checks, ID cards and client access passes for every deployed person before mobilisation, and withdraw passes on exit the same day.
- Issue PPE against individual records and track replacement cycles on schedule rather than on request.
- Support the HSE function on incident reporting, site security briefings and emergency preparedness at CTS and client premises.
- Maintain visitor control, muster records and emergency contact discipline at CTS premises.
7. Reporting and Governance
- Publish a monthly Materials and Security MIS covering consumption against work order, stock value, ageing, variance, open gate passes, asset utilisation and incidents.
- Flag consumable cost overruns against project budget before month close, not at review.
- Keep all records audit-ready for ISO 9001, ISO 14001 and ISO 45001 audits and for client-side audits at short notice.
- Escalate any deviation from process, however convenient the reason, to management in writing.
