Position Overview

The Estate Operations Manager is responsible for coordinating and overseeing all non-technical, non-kitchen operational functions at the property.

The incumbent owns the remaining estate functions — horticulture, security, billing & admin, procurement, and staff housing — ensuring the property runs to the highest standards of order, discipline, and care.

The ideal candidate is a retired or ex-serviceman who brings military-grade discipline, logistics capability, and people management experience to a demanding, high-standards residential estate environment

Key Responsibilities

1.

Horticulture & Landscaping
Oversee all gardens, lawns, plantations, water features, and outdoor spaces at Pine Drive
Manage the horticulture team — roster, task allocation, performance
2.

Security Management
Own the end-to-end security protocol for Pine Drive — gate management, visitor log, CCTV oversight
Manage the security guard roster, shift schedules, and leave planning
Conduct regular mock drills, brief the security team on protocols
Liaise with local authorities when required
Maintain a zero-tolerance, high-discipline security setting in line with estate standards
3.

Billing, Admin & MIS
Manage all utility billing — electricity, water, gas, telecom — at Pine Drive
Maintain a monthly MIS for estate expenditure; submit to Head of Estate
Track all vendor invoices — verify against work done before approval
Maintain a master log of all AMC renewals, warranty documents, and statutory certificates for functions in scope




Manage petty cash and maintain accurate expense records
Ensure all statutory compliances within scope (fire, local permits) are current

Procurement & Vendor Management
Own procurement for all estate consumables, horticulture supplies, security equipment, and staff quarters requirements
Enforce the 3-quote rule as per SOP
Maintain an approved vendor list; periodically benchmark rates
Track purchase orders, delivery, and quality of supplies
Work with Head of Estate for capex procurement approvals
5.

Staff Housing & Stay Management
Manage all on-site staff quarters — allocation, maintenance, cleanliness, and discipline
Ensure staff quarters meet hygiene and habitability standards at all times
Coordinate any repairs or maintenance needs

INCUMBENT PROFILE:

Ex-serviceman — JCO, NCO, or equivalent rank from Indian Army, Navy, Air Force, BSF, CRPF, or similar
Post-service experience in estate management, facility management, or hospitality operations preferred
Total experience: 10 years

Core Competencies
Exceptional discipline and time management — operates to military-grade standards
Strong people management — comfortable leading a team of 10–20 ground staff
Highly organised with attention to detail in record-keeping and admin
Procurement and basic financial literacy — can manage budgets and verify invoices
Composed under pressure — able to manage security situations, emergencies, and principal expectations
Honest and discreet — working in a private, high-trust residential environment

Annual Compensation: 10-12 LPA
