- KEY RESPONSIBILITIES1. Day-to-Day AccountingHandle day-to-day accounting activities and ensure all transactions are recorded accurately and on time.
- Maintain purchase, sales, receipt, payment, journal and other accounting entries.
- Maintain proper ledgers and supporting documentation.
- Perform regular bank, cash, customer and vendor reconciliations.
- Ensure accounting records are complete, accurate and up to date.
- Identify and resolve accounting discrepancies.
- 2. Accounts Receivable & Dealer/Distributor CollectionsMonitor distributor and dealer outstanding balances.
- Prepare and maintain customer-wise ageing reports.
- Track credit limits, due dates and overdue payments.
- Coordinate with the Sales Team regarding outstanding collections.
- Provide regular collection and overdue reports to management.
- Highlight high-risk or significantly overdue accounts.
- Ensure receipts are properly accounted for and adjusted against invoices.
- 3. Accounts PayableManage vendor bills and payment schedules.
- Verify invoices, purchase orders and supporting documents before processing.
- Maintain vendor-wise outstanding and ageing.
- Coordinate with purchase, warehouse and management for payment approvals.
- Ensure payments are made as per agreed terms and company priorities.
- 4. GST, TDS & Statutory ComplianceHandle day-to-day GST-related accounting and reconciliation.
- Prepare data and coordinate for GST returns and other statutory filings.
- Handle TDS accounting, deductions, payments and returns.
- Reconcile GSTR-2B/Input Tax Credit with purchase records.
- Ensure proper documentation for GST, TDS and other statutory requirements.
- Coordinate with external CA/tax consultants for audits,
returns and compliance matters.
- Keep management informed about key statutory deadlines and issues.
- 5. Bank & Cash ManagementMaintain bank accounts and perform regular bank reconciliations.
- Monitor daily bank balances and cash flow.
- Prepare payment schedules and fund requirement statements.
- Track incoming collections and outgoing payments.
- Ensure proper approval and documentation for payments.
6. Management MIS & ReportingPrepare accurate and timely reports for management, including:
- Daily/weekly/monthly sales and collection reports
- Customer outstanding and ageing
- Vendor outstanding and ageing
- Cash flow position
- Bank position
- Receivables and payables
- GST/ITC reconciliation
- Expenses and cost reports
- Product/customer profitability analysis where required
- Monthly Profit & Loss and Balance Sheet review
- Budget vs actual analysis
- Other MIS required by management
The Senior Accountant should be able to explain the numbers, not simply prepare reports.
- 7. Sales & Commercial AccountingCoordinate with the Sales Team for invoice-related issues, credit notes, debit notes, schemes and collections.
- Verify distributor/dealer ledger balances.
- Maintain proper accounting of sales schemes, incentives and credit notes.
- Monitor customer credit terms and limits.
- Support management in analysing sales, margins and collections.
- Identify unusual discounts, adjustments or accounting entries and bring them to management's attention.
- 8. Inventory & Stock AccountingCoordinate with warehouse/dispatch teams for inventory-related accounting.
- Reconcile physical stock with system records where required.
- Monitor stock adjustments, damages, shortages and returns.
- Assist management in identifying slow-moving and ageing inventory.
- Coordinate with purchase and operations teams regarding stock valuation and discrepancies.
- 9. Audit & Financial ClosingCoordinate with external auditors and Chartered Accountants.
- Prepare schedules and supporting documents required for audits.
- Ensure timely monthly and annual closing of accounts.
- Maintain proper documentation and audit trails.
- Assist in preparation of financial statements and year-end closing activities.
- 10. Internal Controls & Process ImprovementEstablish and maintain proper accounting controls.
- Ensure transactions are supported by appropriate approvals and documents.
- Identify gaps, leakages, duplicate payments, incorrect entries and process weaknesses.
- Suggest improvements to accounting and finance processes.
- Maintain confidentiality of company financial information.
SYSTEMS & SOFTWAREThe candidate should be comfortable working with:
- Tally Prime
- MS Excel / Google Sheets
- GST portal
- TDS-related systems
- Banking portals
- ERP/accounting software and digital business systems
Experience with MIS dashboards, automation or ERP implementation will be an added advantage.
