We are looking for a highly organised, proactive and responsible Executive Assistant to the Partner who can take ownership of day-to-day administrative coordination and help streamline the firm's workflow. The person will act as a central coordination point between the Partner, clients and the internal team, ensuring that tasks are properly allocated, followed up and completed on time.
The objective of this role is to reduce the Partner's involvement in routine administrative and coordination work, allowing the Partner to focus on business development, strategic decisions, market opportunities and overall operations.
Key Responsibilities
1. Work Allocation & Team Coordination
· Receive and organise incoming work requests.
· Allocate tasks to appropriate team members.
· Maintain a daily/weekly task tracker.
· Monitor deadlines and pending work.
· Follow up with team members regarding outstanding tasks.
· Escalate delays, bottlenecks and significant issues to the Partner.
· Prepare daily/weekly work status reports.
2. Email Management
· Monitor and organise the Partner's inbox.
· Categorise emails based on priority.
· Identify urgent/action-required emails.
· Draft routine responses for approval.
· Forward relevant tasks to the appropriate team member.
· Follow up on pending client responses.
· Ensure important emails and deadlines are not missed.
3. Invoicing & Accounts Administration
· Prepare and issue client invoices.
· Maintain invoice records.
· Track outstanding invoices.
· Follow up with clients for pending payments.
· Maintain an accounts receivable/collection tracker.
· Highlight overdue or important accounts to the Partner.
· Coordinate with the accounts team where required.
4. Client & Internal Coordination
· Coordinate routine communication between clients and the team.
· Schedule calls/meetings where required.
· Maintain follow-up lists.
· Ensure client requests are routed to the correct person.
· Track commitments made to clients and ensure timely follow-up.
5. Partner Support
· Maintain the Partner's action-item list.
· Prepare daily priority lists.
· Organise meetings and reminders.
· Prepare information required for meetings.
· Follow up on decisions and instructions given by the Partner.
· Keep the Partner updated on important pending matters.
6. Reporting & MIS
· Prepare pending work, deadline and client follow-up reports.
· Prepare invoice/collection and team productivity/status reports.
· Highlight important issues requiring Partner attention.
