Position Summary:
The Learning & Effectiveness INDUS Operations Senior Associate is responsible for supporting the learning organization’s financial and operational processes and policies, with a focus on maximizing process efficiencies. In addition, this role helps drive operational excellence across onboarding, communications, and knowledge management, and supports vendor/contracting coordination to enable delivery of learning programs and services.
Core responsibilities:
- Become knowledgeable and supportive of the strategy of the firm, the goals of People & Culture (P&C;), and Global Learning & Effectiveness (L&E;) and the business priorities of internal clients.
- Supports Global L&E; in annual planning, budgeting and tracking overall spend.
- Effectively manages financial activity and communicates updates to the finance team.
- Maintains financial planning files, including monthly reconciliations, budgeting forecasts, and accruals.
- Liaises with Global L&E; team to support monthly forecasting, program budgets/final reconciliations, contractual agreements, and a knowledge-sharing culture.
- Liaises with the Global L&E; team to support vendor management and invoice processing (e.g., NDAs, SOWs, MSAs, addendums), including routing/coordination with internal stakeholders and maintaining appropriate documentation for audit-ready records.
- Supports vendor/contracting operations by tracking key vendor details (i.e., contract terms, renewal timing, licensing/usage assumptions, and forecast impacts) and ensuring current contracts/orders are retained according to the firm’s retention policy. .
- Provides support as an Ariba power user (as applicable), including purchase/contract and invoice processing coordination and troubleshooting, and partnering with internal finance/procurement stakeholders to ensure timely submission, approvals, and payment status visibility.
- Plans and executes onboarding for Global L&E; new hires and contractors by running the checklist end-to-end: including maintaining up-to-date templates and documentation.
- Supports creation and execution of Global L&E; resource update communications using established templates and drafts announcements.
- Coordinates larger-team (all-hands) call logistics:
manages the planning cadence, consolidates content, supports deck readiness, manages meeting logistics/recordings, and archives materials.
- Supports knowledge management across L&E; platforms (including Canvas and Teams/SharePoint) by organizing content, maintaining templates/libraries and shared repositories, and promoting consistent usage.
- Coordinates with Global L&E; leads to document and track project teams and resourcing needs.
- Maintains the Global L&E; calendar(s) to support planning, communications, and operational coordination.
- Documents, maintains, and improves learning operations workflows and SOPs; partners with L&E; leaders to clarify handoffs and ensure consistent execution.
- Collaborates and partners with colleagues/departments across the firm who support learning.
- Provides ad hoc reporting, information gathering and research.
- Evaluates impact and utilization of off-the-shelf content to determine effectiveness and explores opportunities to enhance.
- Under general direction of Global Director of Learning Innovation, Operations and Compliance, formulates and implements Global L&E; departmental processes, tools and reporting.
- Utilizes AI to incorporate process changes to create efficiencies and respond to evolving business needs.
- Guides and mentors L&E; Associates and Professionals.
The ideal candidate will be:
- A business-minded learning/project management professional with multiple years of increasingly responsible project management roles and a demonstrated ability to thrive in a culture that is collaborative, service-oriented, and consultative.
- Highly action-oriented, with the ability to meet demanding project timelines in accordance with the project charter, and who can build collaborative relationships across a matrixed organization
- A detail-oriented project management professional who delivers services with a pragmatic approach to business partnership and operations (prior experience as learning practitioner preferred)
- History of working successfully with all levels of staff, from intern to senior executive
- Experienced in prioritization, delegation and negotiation with demonstrated ability to be effective in supporting multiple stakeholders working globally across different business units
- Operationally focused with proven ability to deliver timely, consistent, high-quality results
- Metric-focused with ability and history of using analytics to solve problems and develop business solutions
The Ideal Candidate Will Possess:
- Bachelor’s Degree and a minimum of 5 years of proven success in project, vendor and resource management, ideally in a matrixed environment within a professional services industry
- 3 to 5 years of learning support experience
- Ability to manage finance, financial processes and reporting
- Working familiarity with AI tools and emerging technologies to simplify processes and improve outcomes.
- Detail oriented with strong organizational skills
- A reputation for discretion, integrity, judgment, responsiveness, strong attention to detail and common sense
- Ability to run meetings (status, design, info-gathering, close-out) and support projects end-to-end
- Demonstrated success in terms of product quality, completion on time and on budget, compliance and degree of customer satisfaction
- Ability to manage multiple tasks, timelines and resources to successfully execute a defined project and meet deadlines
- Robust verbal, written communication & presentation skills
- Solid PC skills with expert proficiency in MS Office – specifically Word, Excel, and PowerPoint
- Experience using Smartsheet for project plans and operational tracking
- Experience supporting vendor management processes, including coordinating contracting documentation (NDA/SOW/MSA/addendums), invoice workflows, and maintaining vendor trackers/libraries
- Ability to collaborate with global teams, including occasional global working hours
- Interacts and works collaboratively with all levels
