The ideal candidate should have good knowledge of interior materials, vendor management, costing, documentation, and project procurement processes.
Key Responsibilities
1. Procurement & Sourcing
- Procure materials, products, and services required for interior projects as per approved specifications and timelines.
- Source and evaluate vendors for materials such as plywood, MDF, laminates, veneers, hardware, lighting, sanitaryware, electrical items, false ceiling materials, paints, furniture, furnishings, etc.
- Obtain and compare multiple quotations to ensure competitive pricing.
- Coordinate with the design, projects, QS, and site teams to understand material requirements.
2. Vendor Management
- Develop and maintain a reliable vendor and supplier network.
- Negotiate pricing, credit terms, delivery schedules, and other commercial terms.
- Follow up with vendors for quotations, samples, approvals, production, dispatch, and delivery.
- Maintain updated vendor records, price lists, and product information.
- Coordinate with vendors regarding quality or delivery-related concerns.
3. Purchase Orders & Documentation
- Prepare and process Purchase Orders (POs), Work Orders (WOs), and other procurement documents.
- Ensure all procurement is carried out against approved requirements and specifications.
- Verify quantities, rates, taxes, delivery terms, and payment terms before releasing POs/WOs.
- Maintain proper documentation of quotations, comparisons, approvals, POs, invoices, and delivery records.
4. Project & Site Coordination
- Coordinate closely with Project Managers, Site Engineers, Designers, QS, Accounts, and Stores.
- Track material requirements against project schedules and ensure timely procurement.
- Monitor delivery commitments and proactively highlight potential delays.
- Coordinate with site/store teams for material receipt and delivery confirmation.
- Ensure materials delivered are as per approved specifications, quantities, and quality.
5. Cost & Commercial Control
- Maintain procurement trackers and project-wise purchase records.
- Compare actual procurement costs against approved budgets/BOQs.
- Identify opportunities for cost optimisation without compromising quality or specifications.
- Support the QS/Commercial team with procurement rates and vendor quotations.
- Track pending POs, deliveries, invoices, and vendor payments in coordination with Accounts.

- Timely procurement as per project requirements

- Competitive vendor pricing and effective negotiation
- PO/WO accuracy and documentation compliance
- Vendor response and delivery adherence
- Reduction in procurement-related project delays
- Quality compliance of procured materials
- Timely closure of procurement-related issues
- Accuracy and regularity of procurement trackers
Required Skills & Qualifications
- Bachelor's degree/Diploma in Procurement, Interior Design, Civil Engineering, or a related field.
- 24 years of experience in interior procurement, construction procurement, or fit-out projects.
- Good knowledge of interior materials, finishes, hardware, electrical and related products.
- Strong vendor sourcing and negotiation skills.
- Good understanding of quotations, comparative statements, POs, WOs, and invoices.
- Robust follow-up and coordination skills.
- Good working knowledge of MS Excel/Google Sheets.
- Ability to manage multiple projects and procurement requirements simultaneously.
- Strong attention to detail and documentation discipline.
Preferred
- Experience with residential and/or commercial interior projects.
- Existing network of interior material vendors and suppliers.
- Experience working with procurement/ERP or project management platforms.
- Understanding of GRN, BOQ, material specifications, rate comparisons, and procurement cycles.
