We’re Hiring: Executive Office & PMO Associate - Strategic Operations

Eclectique Group is hiring a highly organised, proactive, and execution-oriented Executive Office & PMO Associate to support strategic and operational work across our F&B; and hospitality portfolio.

This is a permanent, full-time work-from-home role for someone who enjoys ownership, challenging work, and a fast-moving startup environment.

Role Details:

• Work arrangement: Permanent work from home.

• Work schedule: Full-time, six-day working week.

• Experience required: 1–3 years in PMO, business operations, project coordination, executive office, management consulting, hospitality operations, or a similar role.

• Working hours: Candidates should be comfortable working in line with Singapore business hours.

Role and Responsibilities

- Support the Executive Office in managing daily priorities, key follow-ups, project timelines, meeting actions, and cross-functional coordination.
- Convert discussions and business requirements into clear action plans, trackers, concise reports, and presentation-ready updates.
- Prepare high-quality PowerPoint or Google Slides presentations, management decks, business proposals, and research summaries.
- Build and maintain Excel or Google Sheets trackers for projects, vendors, procurement, performance, marketing, inventory, expenses, licences, and other business controls.
- Coordinate with internal teams, restaurant and outlet teams, vendors, suppliers, agencies, and external partners to ensure tasks are completed on time.
- Support F&B; operations across areas such as procurement, packaging, uniforms,

POS and technology research, supplier management, inventory coordination, marketing operations, and customer-review tracking.
- Assist with expansion projects, including new outlet openings, new concepts, vendor sourcing, comparative analysis, quotation evaluation, documentation, and timeline follow-up.
- Support partnership, business-development, influencer, PR, campaign, and go-to-market activities through research, outreach tracking, follow-ups, and execution coordination.
- Maintain organised documentation, project records, meeting minutes, decision logs, and handover files.
- Identify risks, delays, missing information, and recurring blockers early; propose practical next steps and follow through until closure.
- Take ownership of urgent or unplanned work as business priorities evolve.

Qualifications Required:

- 1–3 years of relevant work experience in PMO, project coordination, operations, executive office, consulting, business development, hospitality, retail, or a startup workplace.
- Strong Excel or Google Sheets skills, including the ability to create structured trackers, analyse information, maintain clean data, and present findings clearly.
- Strong PowerPoint or Google Slides skills,

with the ability to create clear, professional, and visually organised presentations.
- Excellent written and spoken English, including the ability to draft professional emails, meeting notes, reports, and business documents.
- Strong research, planning, organisation, and follow-up skills.
- High attention to detail and the ability to manage multiple priorities without losing track of deadlines.
- Comfortable speaking with vendors, suppliers, internal teams, and external stakeholders.
- Proactive, reliable, and self-driven, with the discipline to work effectively in a permanent remote setup.
- Willing to work in a dynamic environment where responsibilities may expand across projects and functions.
- Prior F&B;, hospitality, retail, procurement, or startup experience is preferred, but not mandatory for the right candidate.

Who Will Do Well in This Role:

- Someone who enjoys turning ambiguous requests into organised plans and completed outcomes.
- Someone who does not wait for repeated reminders and naturally follows through on details.
- Someone who is equally comfortable making a presentation, analysing a tracker, researching suppliers, coordinating a project, and solving an operational issue.
- Someone looking for broad exposure and meaningful responsibility rather than a narrowly defined role.
