Executive Assistant to Group CFO
Position: Executive Assistant to Group CFO
Function: Finance / CFO Office
Reporting to: Group Chief Financial Officer
Location: Hyderabad
Employment Type: Full-time
Role Purpose The Executive Assistant to the Group CFO will provide high-quality executive, analytical and coordination support to the CFO and help ensure effective functioning of the CFO Office.
The role goes beyond calendar and administrative management. The incumbent will work closely with the CFO on business priorities, management reviews, financial information, cross-functional initiatives and follow-ups with senior stakeholders.
The ideal candidate should be highly organised, commercially aware, comfortable working with numbers and presentations, discreet with confidential information, and capable of independently driving matters to closure.
Key Responsibilities
1. CFO Office Management
- Manage the CFO's calendar, meetings, appointments and key commitments.
- Prioritise meetings and requests based on business importance and urgency.
- Prepare meeting agendas, background material and briefing notes.
- Maintain a structured tracker of key decisions, commitments and action items.
- Follow up with stakeholders to ensure timely closure of agreed actions.
- Anticipate upcoming requirements and ensure the CFO is adequately prepared.
2. Management Information & Analytical Support
- Assist the CFO in reviewing and consolidating financial and business information.
- Coordinate preparation of MIS, dashboards, management reports and presentations.
- Analyse information and highlight important trends, exceptions, risks and pending decisions.
- Support preparation for monthly/quarterly business reviews, Board/Audit Committee meetings and other senior management forums.
- Undertake research and prepare concise summaries on specific business, financial or strategic matters as required.
3. Cross-Functional Coordination
- Act as a coordination point between the CFO Office and Finance, Accounts, Treasury, Taxation, FP&A;, Secretarial, Legal, HR, Business and other functions.
- Coordinate information and responses required from various teams.
- Track important projects and initiatives sponsored or monitored by the CFO.
- Ensure deadlines,
deliverables and commitments are followed through without requiring repeated intervention from the CFO.
- Facilitate effective communication between the CFO and internal/external stakeholders.
4. Meetings & Governance
- Coordinate CFO-led reviews and important management meetings.
- Prepare agendas and collate relevant material in advance.
- Record key decisions and action points where required.
- Maintain action trackers with clear ownership and timelines.
- Follow up proactively until actions are completed.
- Maintain appropriate records of important CFO Office discussions and decisions.
5. Presentations & Communication
- Prepare and refine PowerPoint presentations, briefing documents, reports and executive summaries.
- Assist in drafting internal communications, meeting notes and correspondence.
- Convert detailed information into concise, management-level summaries.
- Ensure accuracy and consistency of information presented to senior management.
6. Confidential & Sensitive Matters
- Handle highly confidential financial, commercial, organisational and personnel information with complete discretion.
- Maintain appropriate confidentiality of discussions, documents and correspondence handled through the CFO Office.
- Exercise sound judgement regarding information sharing and stakeholder communication.
7. Executive & Administrative Support
- Manage travel planning, itineraries and related coordination.
- Organise internal and external meetings, including logistics where required.
- Manage correspondence, documentation and important records.
- Screen and prioritise requests requiring the CFO's attention.
- Provide other executive support necessary for efficient functioning of the CFO Office.
Candidate Profile
Education
- Graduate/Postgraduate from a recognised institution.
- MBA/PGDM in Finance or related discipline would be preferred.
- Candidates with CA Inter/CMA Inter or a strong finance/accounting background may have an advantage.
Experience
- Approximately 48 years of relevant experience,
preferably supporting a CFO, CEO, Business Head or other senior executive.
- Experience in a large corporate, listed company, manufacturing organisation or professionally managed business would be preferred.
- Prior exposure to Finance, MIS, FP&A;, business analysis, management reporting or a CFO Office would be an advantage.
Required Skills
- Strong proficiency in Microsoft Excel, PowerPoint and Word.
- Good numerical and analytical ability.
- Ability to understand financial and business information.
- Excellent written and verbal communication skills.
- Strong planning, organisation and follow-through.
- Ability to prepare concise executive summaries and presentations.
