Educational Qualification
- Graduate in any discipline from a recognized university.
Experience
- Minimum 5 years of relevant work experience as an Executive Assistant / Management Assistant.
Required Skills & Competencies
- Excellent written and verbal communication skills in English.
- Proficiency in MS Office, particularly MS Word, MS Excel and MS PowerPoint.
- Strong organizational and time-management skills.
- Proactive approach with the ability to anticipate requirements and take timely action.
- Ability to multitask, prioritize, and manage deadlines effectively.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently as well as coordinate effectively with internal and external stakeholders.
- Composure and adaptability while handling challenging or time-sensitive situations.
Key Responsibilities
- Work closely with the Director on day-to-day activities, ensuring that important and critical tasks are monitored and followed up to completion.
- Maintain and manage the Directors calendar, appointments, meetings and schedules, including date, time, venue, and other relevant details.
- Schedule and reschedule meetings, appointments and business engagements as required.
- Maintain, organize, and regularly update files, records, documents and confidential information.
- Handle independent correspondence through emails, letters, telephone calls and other forms of communication.
- Draft, format, proofread, and coordinate professional correspondence and documents as required.
- Coordinate with internal departments, clients,
vendors and other stakeholders on behalf of the Director.
- Plan and coordinate business travel arrangements.
- Prepare and organize relevant documents, presentations, reports and meeting materials.
- Track pending assignments, commitments, and action points and ensure timely follow-up and closure.
- Assist the Director in ensuring smooth coordination of meetings, reviews and other important engagements.
- Handle sensitive and confidential information with professionalism and discretion.
- Take up additional administrative and coordination responsibilities as required by the Director.
