TNS India Foundation (formerly a brand affiliate of TechnoServe Inc.) is a Section 25 non-profit development organization that has been active in India since 2012. The foundation designs and implements robust, demand-driven programs that support national economic reconstruction, with a robust emphasis on inclusion and gender equity.
Its work focuses on three key themes: youth employability, women’s entrepreneurship, and agriculture and natural resource management. Team members collaborate with diverse stakeholders, including communities, businesses, and public institutions, to create sustainable impact and long-term economic opportunities.
Key Responsibilities:
- Manage project-level administrative operations in line with organizational policies and procedures.
- Ensure all procurement-related documents, approvals, quotations, invoices, and supporting records are complete and submitted to the Head Office (HO) as per policy guidelines.
- Receive, maintain, safeguard, issue, and track office assets such as laptops and other equipment based on approved requests.
- Maintain accurate asset registers and ensure timely recording of asset issuance, returns, transfers,
and disposals.
- Coordinate with the IT services/vendor partner for repairs, upgrades, maintenance, and other ITrelated requirements.
- Identify and onboard new hotels, meeting venues, and local vendors in accordance with organizational policies.
- Provide administrative support to the project management team, including documentation, recordkeeping, correspondence, and coordination.
- Ensure smooth day-to-day administrative operations, including:
- Courier and postal services
- Office and equipment maintenance
- Stationery procurement and management
- Housekeeping and security coordination
- Utility and facility-related requirements
- Maintain and regularly update vendor records, procurement data, AMCs, contracts, agreements,
and administrative registers.
- Ensure proper documentation, filing, and storage of all administration-related records in both soft and hard copies.
- Coordinate and support periodic stock-taking and physical verification of assets across project centers and offices, including asset counting, condition verification, tagging, and documentation.
- Coordinate with program teams and employees to collect required vouchers and supporting documents and ensure timely processing of vendor payments.
- Coordinate local arrangements for bill and utility payments, wherever required.
- Identify and maintain relationships with reliable local vendors for regular administrative requirements.
- Support the project team with any other administrative or operational responsibilities assigned from time to time.
Skills & Qualifications:
- Graduate with 2-5 years of relevant experience in administration, operations, procurement, or project support.
- Strong negotiation and vendor management skills.
- Good knowledge of Advanced MS Excel and data management.
- Strong organisational and multitasking abilities with excellent attention to detail.
- Good coordination, communication, and interpersonal skills.
- Positive and solution-oriented approach.
- Willingness to learn and adapt to new processes and responsibilities.
- Self-motivated and able to work independently.
- Strong team player with the ability to coordinate effectively with internal and external stakeholders.
- Willingness to travel to project centers/offices for administrative requirements.
