Designation: Executive Assistant to Chief Marketing Officer (EA to CMO)
Preferred Educational Qualification: Bachelor’s or Master’s degree from a recognized university
Experience: Minimum 2+ years of relevant experience in Executive Assistance, Management Coordination, Marketing Coordination, Business Administration, Corporate Communications, or a similar role, preferably in higher education, education, corporate, or other professionally managed organizations.
Preferred Experience:
- Proven experience as an Executive Assistant / Personal Assistant / Executive Coordinator supporting a C-suite executive, senior management, or business/function head.
- Strong experience in calendar management, meeting coordination, executive correspondence, follow-ups, documentation, and management reporting .
- Experience in coordinating with senior leadership, department heads, academic leadership, marketing teams, admissions teams, external agencies, vendors, and other stakeholders .
- Experience in supporting marketing, admissions, branding, communication, events, outreach, digital marketing, or business development activities will be preferred.
- Strong experience in preparing MIS reports, presentations, dashboards, meeting notes, trackers, action-taken reports, and management summaries .
- Experience in managing confidential information, sensitive correspondence, strategic documents, and executive-level communication .
- Exposure to CRM, marketing platforms, digital tools, analytics dashboards, project-management tools, and AI-powered productivity tools will be preferred.
- Experience in coordinating meetings, review meetings, presentations, events, conferences, external engagements, and stakeholder interactions .
- Candidates with experience in Universities, Higher Education Institutions, EdTech, Education Marketing, Corporate Marketing, Media, Advertising, Business Development, or professionally managed organizations will be preferred.
Role Summary: The Executive Assistant to the Chief Marketing Officer will provide high-level executive, administrative, coordination, analytical, and operational support to the Chief Marketing Officer (CMO) of Indira University.
The role will be responsible for ensuring effective planning, coordination, communication, follow-up, documentation, and execution of activities associated with the CMO’s office.
The Executive Assistant will act as a key coordination point between the CMO, Vice-Chancellor, Registrar, Deans, Admissions, Marketing & Communications teams, academic leadership, senior management, external agencies, vendors, and other stakeholders to ensure timely execution of priorities and strategic initiatives.
The position requires a highly organized, proactive, discreet, analytical, responsive, and detail-oriented professional with excellent communication, interpersonal, coordination, presentation, and time-management skills.
The individual should be capable of handling multiple priorities, confidential information, executive communication, deadlines, follow-ups, and cross-functional coordination with minimal supervision.
The role will also support the CMO in marketing planning, admissions coordination, campaign tracking, MIS, dashboards, market intelligence, presentations, meetings, strategic projects, and execution monitoring .
Roles and Responsibilities:
- Provide end-to-end executive assistance and administrative support to the Chief Marketing Officer.
- Manage and maintain the CMO’s calendar, appointments, meetings, schedules, travel plans, and daily priorities .
- Coordinate internal and external meetings on behalf of the CMO and ensure timely communication with all relevant stakeholders.
- Prepare meeting agendas, briefing notes, presentations, discussion points, documents, and supporting materials for meetings and engagements.
- Attend meetings, wherever required, and prepare accurate Minutes of Meeting (MoM), action points, responsibilities, and timelines .
- Maintain an effective Action Taken Report (ATR) / follow-up tracker for all key decisions and commitments made by the CMO.
- Ensure timely follow-up with respective stakeholders and provide status updates to the CMO .
- Coordinate with Admissions, Marketing & Communications, Academic Departments, Finance, HR, IT, Operations, and other functions for execution of CMO-led initiatives.
- Support the CMO in monitoring the progress of marketing, admissions, branding, communication, outreach, campaign, and business development initiatives .
- Assist in coordinating with marketing agencies, creative agencies, media partners, digital marketing agencies, consultants, vendors, publishers, and other external partners .
- Maintain trackers for ongoing marketing campaigns, projects, deliverables, agency activities, events, outreach initiatives, and critical timelines .
- Support the CMO in reviewing campaign-related information including lead generation, engagement, enquiries, applications, conversions, campaign performance, and other relevant metrics .
- Collect information and data from various departments and prepare MIS reports, dashboards, analytical summaries, and management presentations .
- Support the CMO in analyzing marketing and admissions data, trends, campaign performance, student acquisition metrics, and other business indicators .
- Prepare regular daily, weekly, monthly, and periodic reports as required by the CMO.
- Maintain a centralized repository of reports, presentations, meeting documents, marketing plans, campaign data, agreements, proposals, and other significant records .
- Draft, proofread, format, and coordinate official emails, letters, presentations, communication notes, and executive correspondence on behalf of or as directed by the CMO.
- Ensure professional and timely communication with internal and external stakeholders .
- Coordinate with relevant teams to ensure that all communications requiring the CMO’s attention are appropriately prioritized and actioned.
- Support the CMO in preparing for management reviews, strategy meetings, presentations, conferences, events, and external engagements .
- Coordinate logistics for meetings, events, conferences, presentations, campus visits, partner meetings, and other CMO-related engagements.
- Maintain a clear understanding of the CMO’s priorities, commitments, deadlines,
and strategic initiatives and proactively follow up on pending actions.
- Proactively identify delays, dependencies, and execution gaps and bring them to the attention of the CMO.
- Assist the CMO in preparing strategic presentations, business reviews, management reports, proposals, and decision-support documents .
- Conduct preliminary research and compile information on market trends, competitor activities, student preferences, education marketing trends, digital platforms, and relevant industry developments .
- Support the CMO in preparing competitor analysis, market intelligence reports, campaign comparisons, and strategic summaries .
- Coordinate with the Admissions function to support alignment between marketing campaigns, lead generation, admissions targets, applicant engagement, and enrollment objectives .
- Track important admissions and marketing milestones and ensure that relevant stakeholders are aligned with timelines.
- Support the CMO in coordinating with Deans, academic leaders, Admission Managers, counsellors, CRM teams, and other stakeholders for marketing and admissions initiatives.
- Assist in monitoring the implementation of marketing plans, annual calendars, outreach plans, branding initiatives, and promotional activities .
- Maintain confidentiality of all strategic, financial, employee, student, marketing, business, and management information accessed during the course of work.
- Exercise a high degree of discretion, professional judgment, and confidentiality while handling sensitive information.
- Maintain appropriate records and documentation for CMO office activities and strategic initiatives .
- Support the CMO in tracking budgets, purchase requirements, vendor proposals, quotations, invoices, approvals, and related documentation , wherever required.
- Coordinate with Finance and other relevant departments for timely processing of marketing-related approvals, payments, and documentation .
- Assist in coordinating special projects and strategic assignments entrusted by the CMO.
- Track project timelines, deliverables, dependencies, and stakeholder responsibilities for CMO-led initiatives.
- Support implementation of process improvements, automation, dashboards, digital workflows, and technology-enabled reporting within the CMO’s office.
- Leverage AI tools and technology for research, presentation development, data analysis, reporting, content preparation, meeting documentation, productivity, and workflow optimization.
- Maintain high standards of professionalism, responsiveness, accuracy, and executive support at all times.
- Represent the CMO’s office professionally while interacting with internal and external stakeholders.
- Perform any other strategic, operational, administrative, coordination, or special assignments entrusted by the Chief Marketing Officer, Vice-Chancellor, University Management, or other authorized senior leadership from time to time.

Salary Range – Upto 50K per month (Gross)
