Construction Estimator & Tender Coordinator

Location: Ontario, Canada(Remote Job)

Position Overview

We are seeking an organized and detail-oriented Construction Estimator & Tender Coordinator to join our team. The successful candidate will be responsible for regularly monitoring construction tender opportunities across Ontario, reviewing project requirements and drawings, preparing detailed quantity takeoffs and Bills of Quantities (BOQs), coordinating with suppliers and subcontractors for accurate pricing, and preparing and submitting competitive tender proposals.

The ideal candidate will have strong knowledge of construction drawings, specifications, estimating procedures, construction materials, and tendering processes, with excellent attention to detail and the ability to manage multiple tenders and deadlines.

Key Responsibilities

- Regularly monitor and review construction tender opportunities throughout Ontario through various tendering and procurement platforms.
- Identify suitable projects based on company scope, trade capabilities, project size, location, and tender requirements.
- Download and organize tender documents, drawings, specifications, addenda, schedules, and other project information received from clients, consultants, general contractors, and tendering authorities.
- Carefully review drawings and specifications to understand the complete scope of work, project requirements, materials, finishes, and installation requirements.
- Prepare detailed quantity takeoffs from architectural, structural, mechanical, and other applicable drawings, as required by the project scope.
- Prepare detailed Bills of Quantities (BOQ) and estimating worksheets.
- Break down quantities by trade, area, room, elevation, drawing, finish, or other relevant categories.
- Identify drawing discrepancies, missing information, exclusions, assumptions, and potential scope gaps.
- Review all addenda and drawing revisions and incorporate changes into the quantity takeoff and pricing before tender submission.
- Coordinate with suppliers, manufacturers, distributors, subcontractors, and other trade partners to obtain accurate and competitive pricing.
- Provide suppliers and subcontractors with the exact project specifications, material descriptions, finish codes, quantities, drawings, and specification requirements when requesting quotations.
- Review supplier and subcontractor quotations to ensure that quoted products and services comply with the project specifications.




- Compare quotations and identify differences in scope, specifications, quantities, exclusions, lead times, and pricing.
- Prepare material and labour cost estimates and compile complete tender pricing.
- Maintain accurate estimating spreadsheets, quotation records, supplier pricing, and tender documentation.
- Prepare scope of work, inclusions, exclusions, qualifications, assumptions, and tender conditions for each bid.
- Coordinate internally with project managers, site personnel, company management, and other departments to confirm pricing and scope.
- Ensure all required tender forms, schedules, certificates, pricing forms, and supporting documents are completed correctly.
- Monitor tender closing dates and times and ensure submissions are completed before the specified deadline.
- Upload and submit tenders through applicable Ontario procurement and tendering platforms and confirm successful submission.
- Maintain a record of submitted tenders, bid amounts, tender results, supplier quotations, and project information.
- Follow up on tender results and maintain communication with clients, general contractors, suppliers, and subcontractors as required.
- Maintain an organized database of supplier contacts, material pricing, subcontractor rates, and historical project costs.
- Assist in developing and maintaining company estimating templates, cost databases, and standard pricing systems.

Required Qualifications & Skills

- 2 years of experience in construction estimating, quantity takeoff, tendering, or pre-construction is preferred.
- Strong ability to read and interpret construction drawings and specifications.
- Experience preparing detailed quantity takeoffs and BOQs.
- Good understanding of construction materials, installation methods, labour requirements, and construction terminology.
- Experience obtaining and analyzing supplier and subcontractor quotations.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple tenders with different closing dates.
- Strong communication and negotiation skills when dealing with suppliers and subcontractors.
- Proficiency with Microsoft Excel, Word,



and PDF/drawing software.
- Familiarity with construction estimating and takeoff software is an asset.
- Experience with online tender/procurement platforms used in Ontario is an asset.
- Ability to work independently and meet tight tender deadlines.
- Strong written and verbal English communication skills.

Key Performance Expectations The successful candidate will be expected to:

- Consistently identify and monitor relevant tender opportunities in Ontario.
- Complete accurate and detailed quantity takeoffs.
- Obtain pricing based on exact project specifications, rather than relying only on generic market rates.
- Ensure supplier and subcontractor quotations cover the required scope.
- Maintain accurate BOQs and estimating records.
- Identify scope gaps and potential risks before submission.
- Ensure all addenda and revisions are incorporated into the final bid.
- Submit complete and accurate tenders on time.
- Maintain qualified relationships with suppliers, subcontractors, clients, and general contractors.

What We Are Looking For

We are looking for someone who is detail-oriented, proactive, organized, and commercially minded. The successful candidate should be comfortable working with drawings and numbers, communicating with multiple suppliers and subcontractors, and working under strict tender deadlines.

The candidate should take ownership of the estimating process from finding the tender → reviewing documents → understanding scope → quantity takeoff → supplier/subcontractor pricing → BOQ → final estimate → tender submission.
