This role is based in Bengaluru but is specifically designed to provide daily overlap with U.S. working hours.
A typical work schedule is expected to be approximately:
3:00/4:00 PM IST to 12:00/1:00 AM IST
About Organisation:
We are a quick-growing healthcare technology company building technology-enabled virtual care solutions for specialty medical practices in the United States.
Our platform helps specialty practices deliver scalable care outside the clinic through virtual care programs, patient engagement, technology, clinical workflows and AI-enabled solutions.
As our organisation continues to scale, we are looking for an exceptional Chief of Staff & Executive Assistant to the Founder & CEO, based in Bengaluru.
This is not a traditional Executive Assistant role.
The person will work closely with the Founder & CEO across company strategy, leadership coordination, board preparation, customer initiatives, product priorities, hiring, business analysis and day-to-day CEO-office operations.
The right person will become a trusted extension of the CEO.
The Role
The primary objective of this position is simple:
Make the CEO and the organization significantly more effective.
The role combines two responsibilities:
Executive Leverage
Help the CEO manage time, information, communication, meetings, travel, priorities and follow-through.
Chief of Staff / Business Execution
Help translate CEO priorities into action across the company, coordinate senior leaders, drive strategic initiatives and prepare the CEO for important decisions.
Becauserimarily operates in the United States, this role will be based in Bengaluru but will operate substantially during overlapping U.S. business hours.
This is an significant part of the position.
The person should expect to work with the CEO and U.S. leadership team every working day, rather than simply joining occasional evening calls.
Key Responsibilities
1. Run the CEO Office
Create a disciplined operating system around the CEO.
Maintain a clear view of:
- · CEO priorities
- · Key decisions
- · Delegated items
- · Follow-ups
- · Important relationships
- · Upcoming meetings
- · Customer commitments
- · Board commitments
- · Strategic initiatives
- · Recruiting priorities
- · Important deadlines
- Nothing important should get lost.
- Proactively identify what requires the CEO’s attention rather than waiting for instructions.
2. Calendar & Priority Management
- Own and actively manage the CEO’s calendar.
- This is not simply a scheduling function.
- Understand:
- · Why a meeting is required
- · Whether the CEO needs to attend
- · Who else should participate
- · What decision is expected
- · Whether something can be delegated
- · Whether the issue can be handled asynchronously
- Protect the CEO’s time for the highest-value activities.
- Coordinate meetings across U.S., India and international time zones.
Because this role works daily with the CEO during U.S. hours, the individual should be available to handle real-time scheduling changes, priorities and issues during the CEO’s working day.
3. Daily CEO Coordination
- Maintain a highly effective daily operating cadence with the CEO.
- This may include:
- · Reviewing priorities for the day
- · Preparing upcoming meetings
- · Identifying decisions required
- · Reviewing outstanding follow-ups
- · Coordinating with senior executives
- · Tracking delegated actions
- · Surfacing issues requiring CEO intervention
- · Preparing information required for upcoming decisions
- The goal is to develop enough context that the individual increasingly anticipates what the CEO needs before being asked.
4. Meeting Preparation
- Prepare the CEO for important:
- · Leadership meetings
- · Customer meetings
- · Board meetings
- · Investor discussions
- · Candidate interviews
- · Partnership discussions
- · Strategic planning sessions
For significant meetings, prepare concise briefing materials covering:
Objective
Why are we having this meeting?
Context
What does the CEO need to know?
Decision
What decision or outcome is required?
Issues
What are the unresolved questions or risks?
Recommendation
What should we do?
The objective is for the CEO to enter important meetings already prepared.
5. Leadership Team Coordination
- Work closely with senior leaders across:
- · Product
- · Engineering
- · Finance
- · Sales
- · Operations
- · Clinical
- · Patient Engagement
- · Marketing
- · HR
- Track decisions and commitments made in leadership meetings.
- Follow up with owners.
- Ensure deadlines are met.
- Escalate issues when required.
The candidate must be comfortable following up with senior executives and holding people accountable while maintaining strong working relationships.
6. Strategic Projects
- Take ownership of selected CEO-led initiatives.
- Examples could include:
- · New product initiatives

8. Board & Investor Support
Support preparation for board meetings and investor discussions.
Responsibilities may include
· Coordinating board materials
· Gathering functional updates
· Reviewing presentations
· Preparing CEO talking points
· Tracking board requests
· Managing follow-ups
· Maintaining important board documentation The candidate will have access to highly confidential company information and must demonstrate exceptional discretion.
9. Executive Communication
Help draft and refine communications from the CEO, including:
· Internal emails
· Leadership communications
· Customer communications
· Board communications
· Candidate outreach
· Investor communications
· Meeting summaries
· Presentations
Excellent written and spoken English is essential.
The individual should be able to communicate comfortably with senior U.S.-based executives, customers, physicians, investors and partners.
10. Travel & Logistics
Coordinate CEO travel when required, including international travel.
Responsibilities may include
· Flights
· Hotels
· Ground transportation
· Meeting logistics
· Itineraries
· Schedule coordination
· Last-minute changes
Travel planning should optimize both business productivity and CEO time.
The individual may occasionally be required to travel within India or internationally.
This allows the individual to:
· Work with the CEO in real time
· Participate in leadership meetings
· Join important customer discussions
· Coordinate directly with U.S. executives
· Respond to issues during the U.S. business day
· Complete follow-ups while U.S. teams are still online
This is not an occasional late-evening-call requirement.
Daily U.S. overlap is a normal and fundamental part of the position.
Candidates seeking a conventional 9 AM–6 PM India working schedule should not apply.
At the same time, we expect sustainable working hours. The position should not routinely require both a full Indian workday and a full U.S. workday.

A bachelor’s degree is required.
An MBA is helpful but not required.
Experience working directly with U.S.-based executives or customers is highly desirable.
Experience in healthcare, technology, SaaS, startups or U.S.-focused businesses is useful but not mandatory.
Important: This Is a Hybrid Role
Candidates should clearly understand the nature of this position.
This is not a pure strategy Chief of Staff role.
And it is not a traditional Executive Assistant role.
The ideal candidate enjoys both.
- You may spend one hour helping analyze a new business opportunity and the next ensuring an important CEO meeting gets rescheduled correctly.
- You may help prepare a board presentation, participate in a leadership meeting, analyze a business issue and coordinate CEO travel within the same week.
