KEY RESPONSIBILITIES1. NEW ADMISSIONS & CENTRE GROWTH ⭐
New student admissions will be a core responsibility of the Centre Coordinator.
- Generate admissions through centre-level activities, parent referrals, student networks, sports academies, coaches and local outreach.
- Follow up on all enquiries/leads assigned to the centre.
- Understand the academic and sporting requirements of prospective students.
- Conduct initial counselling with parents and students.
- Explain PROSE EDU programs, academic pathways, eligibility, processes and benefits accurately.
- Conduct centre visits and parent interactions.
- Coordinate with the central admissions/marketing team for lead generation and campaigns.
- Maintain systematic follow-up with prospective parents until closure.
- Convert qualified enquiries into admissions.
- Ensure timely collection of required admission documents and fees.
- Maintain accurate admission and enquiry data in the CRM/system.
- Work towards achieving monthly and annual admission targets assigned to the centre.
The Centre Coordinator should continuously ask:
“Who are the next students who can benefit from PROSE EDU?”
- STUDENT RETENTION & PARENT RELATIONSHIP ⭐
Student retention is a critical responsibility of the Centre Coordinator.
- Develop strong relationships with existing students and parents.
- Regularly monitor student satisfaction and engagement.
- Identify students who are disengaged, struggling academically or considering discontinuation.
- Proactively contact parents and students to understand concerns.
- Coordinate with academic and management teams to resolve issues.
- Ensure parents receive timely updates on academic progress and important milestones.
- Follow up on fee payments, documentation and other requirements.
- Maintain regular parent engagement throughout the academic year.
- Support students and parents during transitions between academic programs/grades.
- Encourage continuation and renewal for the next academic cycle.
- Generate referrals from satisfied existing parents and students.
Retention PrincipleEvery student admitted to PROSE EDU is a relationship to be nurtured, not just an admission to be recorded.3. STUDENT COORDINATION & MENTORING
- Act as the primary point of contact for students assigned to the centre.
- Build a positive and supportive relationship with students.
- Monitor attendance, participation and academic engagement.
- Track assignments, assessments and academic milestones.
- Conduct regular student check-ins.
- Identify students requiring additional academic or mentoring support.
- Coordinate with teachers and mentors to address student requirements.
- Support students in balancing academics with sports training, competitions, travel and other commitments.
- Encourage students to take ownership of their academic journey.
4. PARENT ENGAGEMENT & COUNSELLING
- Maintain regular communication with parents.
- Conduct parent meetings and counselling sessions.
- Understand parent expectations and concerns.
- Provide timely responses to queries.
- Coordinate resolution of parent concerns.
- Build long-term trust with PROSE EDU families.
- Keep parents informed about academic milestones, examinations, events and activities.
- Encourage parents to become ambassadors for PROSE EDU through referrals.
5. ACADEMIC COORDINATION
- Coordinate with teachers and the academic team.
- Monitor class schedules and student attendance.
- Follow up on assignments, assessments, projects and practical requirements.
- Track NIOS / Board-related milestones wherever applicable.
- Coordinate examination-related requirements and documentation.
- Ensure students receive study materials and academic resources.
- Identify students falling behind and initiate appropriate follow-up.
6. CENTRE OPERATIONS
- Ensure smooth day-to-day functioning of the centre.
- Maintain a positive, disciplined and student-friendly environment.
- Coordinate classrooms, schedules, meetings and student activities.
- Maintain student records and documentation.
- Coordinate with academic, accounts, administration, logistics and marketing teams.
- Support workshops, events, celebrations and parent meetings.
- Ensure centre-level issues are reported and resolved promptly.
7. CRM, REPORTING & FOLLOW-UP The Centre Coordinator must maintain accurate and updated records of:
- New enquiries
- Lead follow-ups
- Counselling sessions
- Admissions
- Student attendance
- Parent interactions
- Fee follow-ups
- Student concerns
- Retention/renewal status
- Referrals
- Academic milestones
Regular daily / weekly / monthly reports should be submitted to the reporting manager.
