Job Summary

We are looking for an experienced Accounts & Payroll Specialist with 5-8 years of hands-on experience supporting U.S.-based IT staffing/consulting operations. The ideal candidate should have strong experience managing employee timesheets, vendor invoicing, accounts receivable/payments follow-up, accounts payable, and U.S. payroll.

Key Responsibilities

- Maintain employee records, timesheets, billing details, and payroll-related information.
- Review and process employee timesheets accurately and on time.
- Prepare and send invoices to vendors based on approved timesheets and billing terms.
- Follow up with vendors for outstanding payments and manage Accounts Receivable (AR).
- Handle Accounts Payable (AP), including vendor bills and company expenses.
- Process bi-weekly and monthly payroll for U.S.-based employees.
- Reconcile payroll, invoices, payments, and accounting records.
- Maintain accurate financial records and assist with month-end activities.
- Manage accounting transactions and reporting using Intuit QuickBooks.
- Coordinate with internal teams, employees, vendors, and clients to resolve billing and payment issues.
- Ensure timely and accurate completion of all accounting and payroll activities.

Required Qualifications

- 5-8 years of relevant experience, preferably in U.S. IT staffing/consulting.
- Strong hands-on experience with U.S. payroll, timesheets, invoicing, AR, and AP.




- Experience working with U.S. vendors and staffing/consulting business processes.
- Proficiency in Intuit QuickBooks and MS Excel.
- Prior experience working U.S. EST/night shifts is required.
- Robust attention to detail, follow-up, reconciliation, and communication skills.
- Ability to independently manage multiple employees, vendors, invoices, and payment cycles.

Preferred

- Experience in U.S. IT staffing involving H-1B, STEM OPT, Green Card, and U.S. Citizen employees.
- Experience with vendor/client billing and consultant payroll in the U.S. staffing environment.
- Familiarity with U.S. accounting and payroll practices.

Ideal Candidate: Someone who has already worked in the U.S. IT staffing/consulting industry and understands the complete cycle from employee timesheet → vendor invoice → payment follow-up → payroll → accounting reconciliation.
