Seeking Operations Co-Pilot & Right-Hand (Industry - Petroleum Logistics)

Reports To: Company Owner (Direct partnership)

Work Schedule: Monday–Friday | Shift starts ~11:00 AM U.S. Central Time (Nighttime / Overnight shift in India)

Hours: Minimum 45 hours/week (Ranges from 45 to 55+ hours based on fluctuating live volume)

Compensation: Fixed (₹12 Lakhs per annum)+ Direct Performance-Based Bonuses

Position Summary

This is not a corporate management job. We are a fast-moving organization. Because our team is tiny, everyone does everything. The workload fluctuates rapidly—some days are quiet and require deep-focus administrative work; other days are high-stress, chaotic, and require rapid-fire multitasking to handle live U.S. fuel distribution.

We are looking for an adaptable, multi-skilled Operations Co-Pilot to act as the Owner’s right hand. You must be equally comfortable executing basic data entry (Accounts Payable/Receivable) and building high-level operational systems (SOPs, Excel dashboards, KPIs). Mandatory Remote Work Infrastructure

Because you will be the absolute lifeline of live U.S. operations during overnight hours, you must have this infrastructure 100% ready before day one:

· A completely independent backup internet connection (dual-line setup).

· Heavy-duty UPS or generator capable of keeping your PC and router alive during outages.

· A completely quiet, private home office for professional U.S. business communications.





The Multi-Skilled Core Responsibilities

1. Live Logistics & Emergency Multitasking (High-Volume Days)

· Manage live gasoline and diesel purchasing, terminal dispatching, and truck routing in real-time.

· Solve sudden supply chain emergencies independently—driver delays, terminal stockouts, missed deliveries, and customer complaints.

· Rapidly switch between communication channels (phone, email, WhatsApp, and proprietary software) to keep fuel moving without friction.

2. Financial & Administrative Execution (Low-Volume Days)

· Take complete ownership of basic financial data entry: inputting data into QuickBooks/Xero.

· Perform rigorous daily reconciliations matching bank transactions, supplier fuel invoices, driver logs, and customer bills.

· Proactively audit historical data to find hidden inefficiencies, overcharges, or cost-saving opportunities.

3. System Architecture & Growth Engineering (Strategic Focus)

· Clean up the daily chaos by writing clear, step-by-step Standard Operating Procedures (SOPs).

· Design agile data-validation models and operational dashboards using Advanced MS Excel (XLOOKUP, SUMIFS, Pivot Tables).

· Create outcome-based KPIs to prepare the company infrastructure to scale up to 10x its current volume.

Requirements:

· 7+ Years of Swiss-Army-Knife Experience: A proven track record in operations where you were required to wear multiple hats (Logistics, Finance,



and Administration).

· Industry Match: Deep exposure to fuel distribution, petroleum, freight tracking, or heavy logistics is highly preferred.

· The Accountant-Analyst Hybrid: High comfort level managing financial numbers combined with expert-level Microsoft Excel skills.

· Impeccable English: Flawless spoken and written English to confidently handle U.S. suppliers, vendors, and clients.

· The "No Excuses" Mindset: A strong, self-reliant personality who thrives working directly with a business owner without a layer of middle management.

· SOP Architecture: Translates messy, unorganized workflows into crystal-explicit, step-by-step written instruction manuals.

· Assertive Communication: Directs, negotiates, and communicates firmly and professionally with U.S. truck drivers, terminals, and vendors.
