Were looking for an Office Administration Manager to take complete ownership of the day-to-day functioning of our office.
This is a hands-on role for someone who is highly organised, proactive and detail-oriented, and enjoys making sure that everything around the office simply works — from vendors and housekeeping to inventory, couriers, travel, IT and banking coordination.
You will be the go-to person for all office administration and facilities-related requirements, ensuring the workplace is clean, well-stocked, productive and ready for the team every day.
Key Responsibilities
Office & Facilities Management
Own the day-to-day management and functioning of the office.
Ensure the office is clean, organised, well-maintained and fully operational.
Manage housekeeping, pantry, maintenance, repairs and other facility requirements.
Coordinate with building management, landlords and external service providers.
Identify and resolve office-related issues proactively.
Vendor Management
Manage relationships with all office vendors and service providers.
Negotiate rates, coordinate renewals and ensure timely delivery of services.
Maintain a database of vendors, contracts, invoices and payment status.
Ensure vendors meet agreed service levels and quality standards.
Inventory & Stock Management
Maintain and regularly update office inventory and stock records.
Manage stationery, pantry supplies, office equipment and other consumables.
Monitor usage and ensure timely replenishment to avoid shortages.
Track assets issued to employees and maintain accurate records.
Implement straightforward systems for stock tracking and inventory control.
Housekeeping & Office Hygiene
Manage the housekeeping team and daily cleaning schedules.
Ensure cleanliness and hygiene across the office.
Monitor pantry, washrooms, common areas and meeting rooms.
Ensure office supplies and hygiene products are adequately stocked.
