Reports To : Management Representative- Director- Academics.(Shree Niketan Schools)

Location

Base campus with travel across Nolambur and Anna Nagar

Employment Type: Full-time

Working Hours: School working days; occasional flexibility for review cycles and events

Role Summary

Shree Niketan Schools is seeking a highly organised and technically capable Personal Secretary to support the Director- Academics across a multi-campus KG–12 environment. This role exists to close the loop on delegated work — tracking every task, report and follow-up assigned to Principals and Heads, flagging deviations early, and freeing the Director’s time for strategic decisions rather than administrative tracking. The ideal candidate combines strong Excel/Google Sheets and light coding ability with sharp communication, discretion and calm multitasking under pressure.

Key Responsibilities:

Delegation Tracking & Follow-up

- Maintain a live tracker of every task, report and instruction delegated to Principals, Heads of Department and campus coordinators.
- Monitor deadlines and status (RAG - Red/Amber/Green) for each item; proactively flag anything that is delayed, off-track or silent.
- Escalate discrepancies or missed commitments to the Director- Academics with context, not just a status update.
- Close the loop on each delegated item — confirm completion, file the output, and archive with a clear audit trail.

Excel / Google Sheets & Reporting

- Build and maintain trackers, dashboards and heat-mapped views (e.g. delegation status, KRA progress, campus performance).
- Write Google Apps Script/formulas to automate recurring reports, data validation, reminders and template generation.
- Consolidate data from multiple campuses and sources into clean, management-ready summaries — surfacing decisions, not raw data.
- Keep templates (agendas, trackers, review formats) version-controlled, editable and easy for others to use.

Meetings & Time Management





- Prepare structured agendas ahead of every meeting the Director- Academics holds, in consultation on priorities.
- Take notes, track action items and follow up independently with owners until closure.
- Manage the Director- Academics's calendar, protect focus time, and sequence campus visits, reviews and meetings efficiently.
- Reschedule and re-prioritise proactively when conflicts arise, without needing constant direction.

AI-Assisted Workflow

- Use Claude (or similar AI tools) confidently to draft communications, summarise reports, structure trackers and prepare first-pass documents.
- Apply AI tools to speed up repetitive work — data cleanup, formatting, first drafts — while maintaining accuracy and appropriate judgement on what needs human review.

General Executive Support

- Draft and proofread communications to parents, staff and management on behalf of the Director- Academics.
- Coordinate across campuses to gather updates, documents and data on request.
- Handle sensitive information with complete discretion and confidentiality.
- Anticipate needs and manage ad-hoc executive tasks as they arise.

Required Skills & Experience

- Advanced Excel skills — pivot tables, conditional formatting, heat maps, dashboards, formulas (VLOOKUP/ INDEX-MATCH, etc.).
- Working knowledge of Google Sheets with the ability to write or adapt Google Apps Script for automation.
- Hands-on familiarity with Claude or another AI assistant tool for drafting and productivity.
- Strong written and verbal communication skills in English (Tamil a plus, given campus locations).




- Proven ability to multitask and manage multiple simultaneous priorities without dropping details.
- Prior experience reporting directly to senior management/leadership is required; the specific industry does not matter.
- Comfortable with Word and PDF tools for documentation, in addition to spreadsheets.
- Willingness to travel across campuses as required.

Preferred Qualifications

- Graduate degree in any discipline; certification in office administration, business communication or a related field is a plus.
- Experience in education, schools or a multi-location organisation is a plus, but not required — candidates from any industry are welcome as long as they have reported directly to management.
- Exposure to CBSE school operations, KRA/appraisal systems or academic administration is an advantage, though not mandatory.
