Overview / Objectives:

The Workplace Hardware Employee is part of the global Workplace Hardware Management service team and contributes to the definition, governance, and continuous optimization of standardized workplace hardware and related services for Phoenix Contact employees worldwide. The role focuses on ensuring reliable, transparent, and scalable provisioning and lifecycle processes across regions, while supporting lifecycle governance, portfolio standardization, asset data quality, supplier coordination, reporting, and data-driven service improvement.

This position works within the Workplace Hardware Management team and collaborates with internal IT stakeholders, local Workplace Services, Asset Management, Procurement Management, Endpoint Management, external service partners, and relevant suppliers.

The Workplace Hardware

Employee supports operational and governance-related activities such as hardware and service portfolio maintenance, request and fulfilment process coordination, supplier performance and contract compliance follow-up, cost transparency, lifecycle handling, master data analysis, reporting, visualization of service and asset data, documentation, and continuous improvement. The role contributes to a consistent user experience, clear service boundaries, transparent supplier performance, and scalable service operations across current and future workplace-related services such as Device as a Service, print, or other service areas.

Job Requirements:

Vocational training / profession

Completed vocational training or studies in IT, business informatics, logistics, service management, or a comparable discipline; alternatively relevant practical experience in IT workplace services, hardware management, procurement, or asset management.

Job-related experience:

3-5 years of relevant experience in IT workplace services, hardware lifecycle management, IT service management, asset management, procurement support, supplier coordination, contract and service level monitoring, reporting, data analysis, or a comparable area.

Education

- Completed vocational training or studies in IT, business informatics, logistics, service management, or a comparable discipline.
- Relevant certifications in IT service management, ITIL, asset management, procurement, or supplier management are an advantage.
- Fluent English skills, both written and spoken,



to collaborate in an international service environment.

Professional experience:
- Good understanding of workplace hardware such as laptops, office PCs, monitors, mobile phones, tablets and related accessories.
- Experience in lifecycle activities for workplace hardware and related services, such as ordering, provisioning coordination, replacement, return handling, refurbishment, disposal, contract-related follow-up, and lifecycle reporting.
- Knowledge of ITSM request and fulfilment processes, preferably in an international enterprise environment.
- Experience working with asset and inventory data, CMDB structures, reporting, and data quality improvement activities.
- Ability to analyze master data, identify data gaps or inconsistencies, derive improvement measures, and present findings in a structured and understandable way.
- Experience with reporting and data visualization tools or methods to create transparency on asset data quality, lifecycle status, supplier performance, service levels, costs, and demand development.
- Good understanding of supplier coordination, contract compliance monitoring, service level tracking, pricing transparency, cost reporting, and procurement-related processes across workplace-related service areas.
- Ability to coordinate with internal IT teams, local Workplace Services, Procurement, Asset Management, Endpoint Management, and external service partners.
- Structured, reliable, and service-oriented way of working, with solid communication skills and the ability to document processes clearly.
- Analytical thinking and problem-solving skills to identify process deviations, data quality issues, and improvement opportunities.
- A team player with the ability to work collaboratively across departments, countries, and service areas.

Tasks / area of responsibility:

1. Support the definition, maintenance, and continuous optimization of the global workplace hardware portfolio, including laptops, office PCs, monitors, mobile phones, tablets, keyboards, mice, and approved accessories.
2.



Coordinate standardized hardware request and fulfilment processes together with internal IT teams, local Workplace Services, and external service partners.
3. Support lifecycle management activities for workplace hardware and related services, including order coordination, replacement, swap handling, return initiation, refurbishment, disposal, contract-related lifecycle follow-up, and lifecycle reporting.
4. Maintain and improve workplace hardware asset and service master data quality in cooperation external service partners, and relevant system owners; analyze data gaps, inconsistencies, and improvement potentials.
5. Contribute to the governance of global hardware standards and approved exceptions, ensuring clear differentiation between standard office devices and non-standard or specialized devices.
6. Steer and monitor suppliers with regard to agreed contractual obligations, service level fulfilment, performance quality, delivery reliability, and corrective actions where deviations occur.
7. Create, maintain, and further develop reports and analyses for cost transparency, catalog pricing information, and hardware consumption, asset data quality, demand development, lifecycle status, and total cost of ownership considerations.
8. Visualize relevant service, supplier, lifecycle, cost, and asset data to make trends, risks, data gaps, and improvement opportunities transparent for stakeholders and management.
9. Collaborate with Procurement Management on operational sourcing topics, pricing updates, supplier-related information, and portfolio changes.
10. Support portfolio and service reviews, demand analysis, standard updates, supplier performance reviews, and continuous service improvement measures to reduce complexity and improve scalability across current and future workplace-related services.
11. Prepare and maintain service documentation, operating manuals, knowledge articles, process descriptions, and reports related to Workplace Hardware Management.
12. Analyze process disruptions, fulfilment issues, asset data inconsistencies, and supplier-related deviations, and initiate corrective actions in collaboration with the responsible stakeholders.
13. Act as a reliable contact for workplace hardware-related questions from IT coordinators, local IT teams, service desk units, and other internal stakeholders.
