Vendor Management (USA & UK Operations)

Location: India

Experience: 6-10 Years and Shift: US Shift (Mandatory)

Shift Requirement: Must be willing to work in US business hours and collaborate with stakeholders across the USA, UK, and global teams.

Work from Office ( 2-3 days )

Role Overview

We are seeking an experienced Vendor Management Manager to lead supplier governance and operations across the USA and UK regions. The role will be responsible for managing staffing suppliers, MSP relationships, contract administration, invoicing and payments, compliance, audits, and stakeholder management.

The ideal candidate should possess strong supplier management expertise, commercial acumen, contract administration experience, advanced Excel/MIS reporting capabilities, and the ability to work effectively with global stakeholders.

Key Responsibilities

Supplier & MSP Management

- Manage end-to-end supplier relationships across the USA and UK markets.
- Govern MSP engagements and ensure adherence to agreed SLAs, KPIs, and contractual obligations.
- Conduct supplier performance reviews, governance meetings, and escalation management.
- Drive supplier onboarding, consolidation, rationalization, and risk mitigation initiatives.

Contract & Documentation Management

- Review, manage, and maintain supplier documentation and contractual records.
- Coordinate execution and tracking of:

- Master Service Agreements (MSA)

- Statements of Work (SOW)

- Amendments / Addendums
- Non-Disclosure Agreements (NDA)

- Rate Cards

- Compliance and Audit Documents
- Partner with Legal, Procurement, and Business teams to ensure contractual compliance and timely renewals.
- Track contract expiry dates, change requests, and supplier obligations.

Invoice & Payment Governance

- Manage supplier invoicing, payment validation,



and reconciliation processes.
- Coordinate with Finance and Accounts Payable teams for timely payments.
- Track billing disputes, aging invoices, and payment escalations.
- Ensure adherence to commercial terms and contractual payment obligations.

Compliance & Audit Management

- Ensure supplier compliance with local labor laws, taxation requirements, and client-specific obligations.
- Maintain complete audit-ready supplier documentation.
- Support internal, external, and client audits.
- Identify compliance gaps and drive corrective action plans.

Process Excellence & Governance

- Develop, implement, and improve vendor management policies, SOPs, and governance frameworks.
- Drive process standardization, automation, and operational efficiency initiatives.
- Monitor SLA adherence and operational metrics.

Stakeholder Management

- Serve as the primary liaison between Talent Acquisition, Procurement, Finance, Legal, HR, MSPs, Suppliers, and Business Leaders.
- Manage stakeholder expectations and resolve supplier-related operational issues.
- Build strong partnerships with internal and external stakeholders globally.

Reporting & MIS Analytics

- Develop and publish regular MIS reports and dashboards.
- Analyze supplier performance, spend patterns, invoice status, compliance metrics, and operational KPIs.
- Present actionable insights to leadership through data-driven reporting.




- Utilize advanced Excel and reporting tools to improve visibility and governance.

Required Skills & Experience

- 6-10 years of experience in Vendor Management, Supplier Governance, Procurement Operations, or Staffing Vendor Management.
- Strong experience managing IT staffing suppliers and MSP programs in USA and UK markets.
- Hands-on expertise in:

- MSA Management

- SOW Administration

- Contract Amendments / Addendums

- NDA and Compliance Documentation

- Supplier Onboarding Documentation
- Solid understanding of invoicing, billing, payment reconciliation, and supplier commercial governance.
- Experience handling audits, compliance reviews, and supplier risk management.
- Excellent stakeholder management and communication skills.

- Advanced Microsoft Excel skills

- Pivot Tables

- XLOOKUP/VLOOKUP

- Dashboards
- Data Analysis & Reporting
- Strong MIS reporting and analytical capabilities.
- Ability to work independently in a fast-paced global environment.

Preferred Qualifications

- Experience in IT Staffing, Talent Supply Chain, MSP, or Vendor Management environments.
- Exposure to VMS/MSP platforms and ERP systems.
- Understanding of US and UK supplier compliance requirements.
- Experience supporting supplier consolidation and transformation initiatives.

Education

- Bachelor's Degree in Business Administration, Commerce, Human Resources, Supply Chain, or related field.
