OBJECTIVES OF POSITION: To ensure that all the services, technical supply, spares & Quotation for the vessels requirement from the vessels & Assisting Superintendent & Fleet Manager.
RELATIONSHIP: Reports to Fleet Manager & Technical Superintendent
RESPONSIBILITIES
- Dispatches all mails related with Overdue Jobs, Shipboard Task, drills, PMS, VIR etc. to the vessels and maintains records.
- Controls and files all incoming mail and forwards it to the concerned superintendent.
- Maintains detailed filing of all routine electronic reports sent from the vessels.
- Refer cargo temperature database check and report to fleet managers in case of any defect found in reports.
- Track mail received from owners, follow-up with technical superintendents on the same.
- Maintain records of KPI of Technical superintendent, report to fleet Manager. Keep a track of Condition of class status.
- Prepares and distributes minutes of meetings as required. Prepares and distributes all technical summary reports requested by management.
- Ensures that vessel receives Fleet Management memos, circular letters. Dispatches of certification and chart corrections of vessels.
- Liaises with Class for vessel certifications, survey status and documentation. In cooperation with
Superintendent, maintains the record of vessels certification,
survey status and official documentation.
- Follow-up with the fleet for FO and LO sample analysis reports. Follow-up with the fleet for Inventory management Execute work safely and reliably and to a quality standard. Support both technical personnel onboard the vessels and the onshore Equipment Managers/Superintendents as required.

- Work with the company PMS applications to collate equipment information, build an equipment structure and record equipment maintenance plans. Contribute to the development of PMS implementation procedures, including philosophy, hierarchy, and content.
- Contribute to ensuring that PMS documentation accurately reflects the planned maintenance procedures in use both onboard the vessels and in the office. Assist the Technical Superintendent as directed in the control of technical budget for the maintenance and dry docking, including monitoring of and control of the costs of repairs and maintenance.
- Assist the Technical Superintendent as directed in the preparation, monitoring and control of repair and maintenance budgets for the fleet including records of spare part, fuel, and lube oil usage
