Senior Payroll Analyst – US Payroll

Department: US Payroll

Location: Trivandrum / Ahmedabad / Indore

About the Role

We are looking for a Senior Payroll Analyst – US Payroll to join our growing US Payroll team. The role will be responsible for managing end-to-end US payroll activities for international clients, ensuring payroll is processed accurately, timely, and in compliance with applicable federal and state regulations.

The ideal candidate will have strong hands-on experience in US payroll processing, payroll reconciliations, payroll taxation, compliance, reporting, and client management, along with the ability to independently manage payroll activities and resolve complex payroll issues.

Key Responsibilities

US Payroll Processing

- Manage and process end-to-end US payroll for assigned clients.
- Review and validate payroll inputs including hours, earnings, deductions, reimbursements, bonuses, commissions, and employee changes.
- Ensure payroll is processed accurately and within defined timelines.
- Perform pre-payroll and post-payroll validations to identify and resolve discrepancies.
- Handle payroll adjustments, off-cycle payrolls, final settlements, and retroactive corrections.

Payroll Tax & Compliance
- Maintain strong understanding of US federal, state, and local payroll tax requirements.
- Review payroll tax calculations and ensure appropriate deductions and filings.
- Support compliance with applicable wage and hour regulations.
- Assist with year-end payroll activities, including W-2 and other applicable payroll reporting.
- Stay updated on changes in US payroll legislation, taxation, and compliance requirements.

Reconciliation & Reporting
- Perform regular payroll-to-general-ledger and payroll-to-bank reconciliations.
- Investigate payroll variances and ensure timely resolution.




- Prepare payroll reports, management reports, and client-specific reporting.
- Validate payroll registers, tax reports, deduction reports, and other payroll outputs.
- Maintain accurate payroll records and documentation.

Client & Stakeholder Management
- Act as a key point of contact for assigned client payroll activities.
- Respond to client queries professionally and within agreed turnaround times.
- Coordinate with internal accounting, HR, finance, and operations teams to resolve payroll-related issues.
- Communicate payroll discrepancies, risks, and exceptions proactively.
- Support client onboarding, payroll transitions, and process changes.

Process & Quality Management
- Ensure adherence to internal SOPs, quality standards, and client-specific processes.
- Identify opportunities to improve payroll accuracy, turnaround time, and process efficiency.
- Support automation and standardisation initiatives within the payroll function.
- Conduct quality checks and peer reviews where required.
- Maintain confidentiality and security of sensitive employee and payroll information.

Required Skills & Experience

- 2–7 years of relevant experience in US Payroll, preferably in a KPO/BPO, accounting, payroll outsourcing, or shared-services environment.
- Strong hands-on knowledge of US payroll processing and payroll taxation.
- Understanding of federal, state, and local payroll requirements.
- Experience with payroll reconciliations, payroll reporting, and variance analysis.




- Good understanding of payroll deductions, benefits, garnishments, overtime, bonuses, and other payroll components.
- Experience handling multiple clients or payroll entities will be an advantage.
- Strong analytical and problem-solving skills.
- Valuable written and verbal communication skills.
- Strong attention to detail and ability to work with tight deadlines.
- Ability to independently manage assigned payroll processes and escalate issues appropriately.
- Proficiency in MS Excel and payroll/accounting systems.

Preferred Experience

Candidates with experience in any of the following will be preferred:

- US Payroll Outsourcing / Payroll KPO
- Multi-state US payroll
- Payroll tax compliance
- Payroll reconciliation and accounting
- Year-end payroll processing
- W-2 processing
- Payroll transitions and client implementations
- Payroll platforms such as ADP, Paychex, UKG, Workday, Ceridian/Dayforce, or similar systems
