A reputed Family office based out of Chennai is looking out for an experienced, highly organised and process-driven Manager / Senior Manager Administration to lead the administration function.
The ideal candidate is a proactive problem solver who thrives on creating structure, improving processes and driving operational excellence. The role requires a candidate who can work independently, exercise sound judgement, manage multiple priorities simultaneously and maintain the highest standards of professionalism, confidentiality and service.
This is a hands-on role in a lean Family Office setting. The individual will be expected to personally manage and execute day-to-day administrative matters while also taking ownership of larger projects, property-related matters and multi-location administration.
Ability to take ownership of unfamiliar or ambiguous situations, ask the right questions, independently gather information, structure the problem, identify practical solutions and drive execution with minimal supervision.
Excellent executive communication skills, including the ability to listen carefully, understand the specific requirement, respond directly and concisely, and provide structured updates covering actions, timelines, risks and decisions required.
This is not a traditional 9-to-5 role We value outcomes. The candidate should be comfortable working across time zones and be available outside normal business hours or on weekends when critical matters require attention.
KEY RESPONSIBILITIES
- Lead and manage the administration function across India and overseas, ensuring consistent service standards and operational excellence.
- Manage,
mentor and develop the administration team, providing direction, support and performance oversight.
- Independently oversee all administrative operations of the Chennai office, including facilities management, housekeeping, security, landscaping and vendor management.
- Oversee the administration and operational requirements of the Overseas office, coordinating with local team members and service providers.
- Manage property-related projects including maintenance, repairs, renovations, fit-outs and new projects, covering contractor/consultant coordination, quotations, site inspections, progress monitoring, snagging, handover, documentation, warranties and post-completion rectification. Review quotations and proposals, compare alternatives, monitor costs against approved budgets, negotiate where appropriate and escalate significant commercial or scope deviations.
- Manage office fit-out activities, relocations and administrative projects as required.
- Seamlessly manage domestic and international travel, including flights, visas, accommodation, transportation and detailed itineraries.
- Coordinate meetings, calendars and schedules for senior management.
- Oversee vendor relationships, negotiate service agreements where appropriate and ensure timely delivery of services.
- Manage payments,
subscriptions and administrative budgets, ensuring timely processing and accurate record keeping.
- Maintain and analyse Excel-based trackers and reports for administration, projects and operational activities.
- Organise and maintain physical and digital records to ensure easy retrieval and information security.
- Coordinate with government departments, statutory authorities and external agencies, as required.
- Coordinate medical appointments, hospital interactions and related healthcare logistics.
- Identify process improvements and implement systems that improve efficiency, accountability and service quality.
- Travel with family members or senior executives, where required, to coordinate logistics and administrative support.
Preferred candidate profile
- Graduate or Post Graduate.
- 812 years of relevant administration experience in a Family Office, Chairman's Office, CXO's Office, Corporate Services or Hospitality environment.
- Strong project management and coordination skills.
- Excellent written and verbal communication skills.
- Strong organisational skills with exceptional attention to detail.
- Ability to establish processes and continuously improve operational efficiency.
- Ability to manage multiple priorities while consistently meeting deadlines.
- High degree of integrity and discretion in handling confidential information.
- Comfortable interacting with senior executives, government authorities and external stakeholders.
- Fluency in English, Tamil and Hindi is essential.
