We are seeking an organized and proactive professional with hands-on experience in U.S. multifamily property management and leasing operations. The ideal candidate will support the full lease lifecycle, from applications and lease execution through renewals, compliance, move-outs, and unit turnover, while coordinating day-to-day property operations and stakeholder communications.
Key Responsibilities:
- Lease Lifecycle Management:
- Manage the full lease lifecycle for multifamily properties, including prospect communication, applicant screening, document verification, applications, lease preparation, renewals, addendums, move-ins, move-outs, terminations, notices, and unit turn-in.
- Ensure lease documentation, resident records, and related processes comply with company standards, lease requirements, and applicable regulations.
- Resident & Stakeholder Communication:
- Act as a central point of contact between property managers, residents, prospects, vendors, contractors, utility providers, and other third-party service providers.
- Handle resident inquiries, lease-related requests, notices, community communications, and operational issues while ensuring timely follow-up and resolution.
- U.S. Property Management Support:
- Provide day-to-day operational support to U.S.-based property management firms managing multifamily portfolios.
- Support maintenance coordination, property inspections, resident access, vendor scheduling, and other property-level operational requirements.
- Application & Documentation Management:
- Review and verify applicant documentation, coordinate application processing and approvals, and maintain accurate leasing and resident records.
- Prepare and manage lease agreements, renewals, addendums, notices, move-in/move-out documentation, vendor contracts, proposals, invoices, and other property-related documents.
- Maintenance, Vendor & Contractor Coordination:
- Create and track work orders, coordinate maintenance requests, inspections, vendor access, proposals, contracts, invoices, and service follow-ups.
- Coordinate with vendors and contractors to ensure property-related work is scheduled, completed, and properly documented.
- Utilities & Financial Administration:
- Coordinate utility services and accounts, including ComEd, Nicor Gas, and Peoples Gas, for occupied and vacant units, including service transfers, billing, account updates, and invoices.
- Monitor resident ledgers, charges and credits, late fees, delinquency follow-ups, and required 5-day/10-day notices.
- Property Access & Technology Management:
- Manage resident access and property technology systems, including Akuvox, while maintaining accurate information across AppFolio, listing platforms, and other property management systems.
- Reporting & Administrative Support:
- Prepare weekly portfolio reports, maintain accurate property and resident records, and support management with day-to-day administrative, operational, and reporting requirements.
- Ensure leasing, financial, maintenance, vendor, and property documentation is organized and readily accessible.
Qualifications:
- Strong knowledge of U.S. multifamily real estate, property management, and lease lifecycle management practices.
- Proven experience supporting U.S.-based property management companies and multifamily portfolios.
- Strong understanding of leasing operations, resident management, property operations, and related administrative processes.
- Excellent verbal and written communication skills with the ability to coordinate effectively across multiple stakeholders.
- Robust organizational skills, attention to detail, and ability to manage multiple priorities independently.
- Proficiency in Microsoft Office Suite and lease management software (preferred).
Preferred Experience:
- 2+ years of experience in U.S. multifamily property management, leasing operations, lease administration, or real estate support.
- Experience in managing or supporting the full lease lifecycle, including applications, lease execution, renewals, move-ins, move-outs, and compliance.
- Experience in coordinating vendors, contractors, maintenance, utilities, resident accounts, and property operations.
