Role Overview The Personal Assistant to the CEO will provide comprehensive administrative, operational and coordination support to the Chief Executive Officer. The role requires excellent organisation, discretion, communication and follow-through.
The successful candidate will manage the CEO’s schedule, meetings, correspondence, travel and documentation while coordinating with senior management, employees, clients, investors, regulators and other external stakeholders.
Key ResponsibilitiesExecutive Support
- Manage the CEO’s calendar, appointments and daily schedule.
- Prioritise meetings and commitments according to business requirements.
- Prepare daily and weekly schedules, reminders and briefing notes.
- Screen incoming calls, correspondence and meeting requests.
- Draft emails, letters, presentations, reports and other business documents.
- Maintain an organised record of important documents and communications.
- Handle confidential business and personal information with complete discretion.
Meeting Coordination
- Schedule internal and external meetings for the CEO.
- Prepare agendas, presentations and supporting documents.
- Record minutes of meetings and circulate action points.
- Track decisions, deadlines and pending deliverables.
- Follow up with department heads and other stakeholders on behalf of the CEO.
- Ensure that the CEO receives relevant documents before each meeting.
Travel and Event Management
- Coordinate domestic and international travel arrangements.
- Prepare itineraries and arrange flights, hotels, local transport and meetings.
- Maintain travel records and assist with expense documentation.
- Coordinate the CEO’s participation in conferences, investor meetings and company events.
- Support arrangements for board meetings and senior-management reviews.
Management Coordination
- Act as a professional point of contact between the CEO and internal departments.
- Coordinate with HR, finance, operations, compliance, legal, credit, collections and business teams.
- Monitor the status of projects and assignments identified by the CEO.
- Compile departmental updates into concise management summaries.
- Escalate delays, unresolved matters and significant issues promptly.
- Assist the CEO with special projects and strategic initiatives.
Stakeholder Communication
- Communicate professionally with clients, investors, lenders, directors, consultants and business partners.
- Coordinate meetings and information requests involving external stakeholders.
- Maintain updated stakeholder and contact records.
- Ensure that sensitive communications are handled through appropriate channels.
- Represent the CEO’s office with professionalism and courtesy.
Documentation and Compliance Support
- Maintain confidential records, agreements, reports and board-related documents.
- Coordinate signatures, approvals and document circulation.
- Support the preparation and organisation of regulatory, audit and compliance documentation.
- Maintain structured physical and electronic filing systems.
- Ensure that documents are stored and shared in accordance with company policy.
- Avoid disclosing customer, employee, transaction or company information without proper authorisation.
Administrative Responsibilities
- Process and track bills, reimbursements and expenses relating to the CEO’s office.
- Maintain office supplies and administrative requirements for the executive office.
- Assist in preparing management reports and presentations.
- Coordinate visitors and business appointments.
- Perform other reasonable responsibilities assigned by the CEO.
Required Qualifications
- Bachelor’s degree in Business Administration, Commerce, Management, Finance or a related discipline.
- A postgraduate qualification or professional certification in administration or management would be beneficial.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and online meeting platforms.
- Solid command of written and spoken English.
- Knowledge of Hindi or relevant regional languages would be an advantage.
Experience
- Approximately 3–7 years of experience as a Personal Assistant,
Executive Assistant or in a similar administrative position.
- Previous experience supporting a CEO, Managing Director, founder or senior executive is preferred.
- Experience in an NBFC, bank, microfinance institution, fintech company or financial-services organisation would be advantageous.
- Experience coordinating with senior stakeholders and handling confidential information is essential.
