Job Title: Participant Recruitment Manager – Clinical Studies

Location: Bengaluru, Karnataka

Department: Clinical Operations / Participant Recruitment

Team Size: 5 Recruiters

Experience: 1–6 years

Education: MBA/PGDM preferred; candidates with relevant experience in clinical study participant recruitment will also be considered.

About the Role

We are looking for a dynamic and highly communicative Participant Recruitment Manager to lead and manage a team of 5 participant recruiters involved in clinical studies.

The candidate will be responsible for both hands-on participant recruitment and team management . The role involves identifying potential participants, making calls, explaining study requirements clearly, addressing queries, motivating eligible participants to enroll, and ensuring timely follow-up for scheduled study visits.

The ideal candidate should have excellent communication and persuasion skills, strong people-management abilities, and the confidence to interact with participants from diverse backgrounds. Fluency in Kannada is mandatory.

Key Responsibilities

Participant Recruitment & Engagement

- Identify and connect with potential participants for ongoing clinical studies through available recruitment channels.
- Make outbound calls and communicate with prospective participants to understand their interest and suitability.
- Explain the clinical study, visit requirements, timelines, procedures, and other relevant information in a clear and participant-friendly manner.
- Build rapport with participants and address their queries and concerns professionally.
- Motivate and guide interested participants through the recruitment and enrollment process while maintaining ethical recruitment practices.
- Conduct regular follow-ups with participants regarding upcoming visits and appointments.




- Maintain regular communication with enrolled participants to support visit adherence and reduce dropouts.
- Maintain accurate records of participant interactions, follow-ups, and recruitment status.

Team Management
- Lead, supervise, and manage a team of 5 Participant Recruiters.
- Allocate recruitment targets and responsibilities among team members.
- Monitor daily recruitment calls, leads, conversions, follow-ups, and enrollment numbers.
- Track individual and team performance and provide regular feedback and coaching.
- Train recruiters on participant communication, study explanation, follow-up techniques, and handling participant queries.
- Support team members in resolving difficult participant situations and improving conversion rates.
- Ensure the team follows approved study recruitment processes and communication guidelines.

Study Coordination
- Coordinate closely with Study Managers, Clinical Operations teams, and other stakeholders regarding participant recruitment and visit schedules.
- Provide regular updates on recruitment progress, participant status, and challenges.
- Coordinate participant visits with the study team and ensure timely communication of changes or cancellations.
- Escalate participant-related issues or concerns to the appropriate study team.
- Support the study team in achieving recruitment and retention targets.

- Comfortable working in a fast-paced clinical research environment.
- Good working knowledge of MS Office/Google Workspace and basic reporting tools.

Educational Qualification
- MBA/PGDM graduates from HR, Marketing, Healthcare Management, Business Administration, or related disciplines are preferred.
- Candidates without an MBA may also be considered if they have strong, relevant experience in clinical study participant recruitment or participant engagement.

Preferred Experience Candidates with experience in any of the following areas will be preferred:

- Clinical trial / clinical study participant recruitment
- Patient recruitment or patient engagement
- Healthcare recruitment
- Telecalling / inside sales with strong conversion experience
- Clinical research coordination
- Team handling in recruitment, healthcare, or clinical research environments

What We Are Looking For The ideal candidate is someone who can personally drive participant recruitment while effectively managing a team . They should be confident speaking with participants, capable of explaining information in simple terms, comfortable with frequent follow-ups, and able to motivate their team to achieve recruitment targets. Strong Kannada communication skills are essential for this role.
