Role Overview The Operations Team Lead will be responsible for managing day-to-day execution across assigned team members, ensuring tasks are clearly assigned, deadlines are followed, targets are tracked, and work output is reviewed before it moves to the next stage.
This is a hands-on team management and operations coordination role. The person will be expected to bring structure, discipline, follow-up, and accountability into daily operations. The role is suitable for someone who has managed small teams, tracked daily productivity, followed up on pending work, handled task allocation, and ensured that work gets completed on time with the required quality standards.
The scope of this role may evolve based on business priorities, team size, delivery requirements, and management direction. The role requires strong coordination skills, attention to detail, ownership mindset, and the ability to work in a fast-moving startup environment.
Key Responsibilities The responsibilities listed below are indicative and not exhaustive. The role holder may be required to perform additional duties reasonably aligned with their skills, experience, and the needs of the business.
1. Run daily standups for assigned team members and ensure every person has clear priorities, deadlines, and expected outputs for the day.
2. Break larger work items into clear, specific, and trackable daily tasks so team members are not working from vague or incomplete instructions.
3. Assign tasks with defined ownership, timelines, expected completion standards, and measurable targets.
4. Monitor daily progress across assigned team members and ensure tasks are completed within agreed timelines.
5. Follow up proactively throughout the day to identify blockers, delays, quality issues, or lack of progress before they affect deadlines.
6. Track daily task completion, missed deadlines, pending items, attendance, productivity, and output quality.
7. Maintain daily and weekly operations trackers covering assigned tasks, completed work, work in progress, delayed items, absenteeism, productivity concerns, and quality gaps.
8.
Monitor whether team members are meeting daily and weekly targets as defined by management.
9. Review team member output for completeness, accuracy, formatting, quality, and adherence to instructions before it moves to the next level of review.
10. Ensure team members follow defined processes, reporting formats, documentation standards, naming conventions, task updates, and communication routines.
11. Balance workload distribution across team members so that no one is overloaded, underutilized, or unclear about their responsibilities.
12. Coordinate with delivery leads, senior team members, and management to understand priorities and convert them into daily execution plans.
13. Identify repeated delays, missed targets, poor ownership, low productivity, recurring mistakes, attendance issues, or quality concerns and escalate them with clear facts.
14. Prepare daily and weekly reports covering team performance, task completion, target achievement, delays, risks, productivity issues, and corrective actions.
15. Maintain accurate internal records, trackers, dashboards, and operational documentation as required.
16. Support continuous improvement in daily execution by tightening follow-up, reducing ambiguity, improving accountability, and strengthening process discipline.
Authority & Accountability
- The role operates under the direction of company management and does not carry director-level, statutory, or final delivery authority unless explicitly assigned in writing.
- The role holder is accountable for daily team coordination, task tracking, deadline follow-up, productivity monitoring, quality checking, reporting, and operational discipline.
- Decision-making authority, team scope,
reporting structure, and responsibilities may be modified by management from time to time based on business needs.
- The role holder is expected to maintain confidentiality, act in the companys best interests, follow internal processes, and maintain professional standards in all team interactions.
Skills and Experience Required
- 4 to 8 years of experience in operations, team coordination, process management, delivery coordination, BPO team leadership, staffing coordination, resource coordination, or project coordination.
- Demonstrated ability to manage a small team, assign tasks, track deadlines, follow up on pending work, and ensure target completion.
- Strong task management, follow-up, documentation, reporting, and productivity tracking skills.
- Ability to identify delays, quality issues, missed targets, and performance concerns early and escalate them with clear facts.
- Good understanding of daily operations, workload distribution, attendance tracking, productivity monitoring, and process adherence.
- Strong written and verbal communication skills.
- Comfortable working in a fast-moving startup environment with evolving priorities.
- High degree of ownership, discipline, professionalism, attention to detail, and accountability.
- Working knowledge of tools such as Excel, Google Sheets, Zoho, Trello, ClickUp, Asana, Jira, Slack, Microsoft Teams, or similar task tracking and reporting systems will be an advantage.
