JD For OPERATIONS MANAGER :
- POSITION OVERVIEW The Operations Manager will be responsible for the overall day-to-day administration, coordination, business development and operational management of Falcon Multi Services LLC's U.S. operations. The position will act as a key coordination point between the U.S. office, Falcon's India Head Office and other international offices, ensuring that company operations, training programs, recruitment/manpower services, consultancy activities, client relationships, vendor relationships and administrative functions are executed efficiently and in accordance with company policies and applicable requirements. The role requires a highly organized, commercially minded and hands-on professional capable of independently managing multiple activities, developing new business opportunities and supporting the establishment and expansion of Falcon's presence in the U.S. market.
- KEY RESPONSIBILITIES
A.
Branch
Operations & Administration Manage and supervise the day-to-day operations of the U.S. branch. Ensure smooth functioning of office administration, documentation, scheduling, communication and operational activities. Coordinate with the India Head Office and international branches on operational matters. Implement policies, procedures, systems and operational controls established by management. Maintain proper records, databases, contracts, correspondence, client documentation and operational reports. Prepare periodic operational and management reports as required. Monitor deadlines, deliverables, appointments, meetings and assigned tasks. Ensure that all operational activities are completed accurately and within agreed timelines. Identify operational gaps and recommend improvements to management. Maintain confidentiality of company, employee, client and commercial information.
1 B. Training Operations
Control, coordinate and supervise training operations conducted by the company.
Monitor Training
Center activities, schedules, facilities, instructors and trainee coordination. Coordinate with instructors regarding availability, fees, course requirements and schedules. Coordinate course registrations, trainee documentation, attendance, examinations and certification processes. Follow up and verify certification and course-completion processes. Assist in establishing and developing new training programs in the U.S. market. Research market demand for safety, technical, HSE, oil & gas and other relevant professional training programs. Coordinate with accreditation bodies and training partners as directed by management. Ensure training-related documentation is maintained accurately and systematically.
C. Business Development & Sales Support
Identify and develop new business opportunities for Falcon in the U.S. and international markets. Research potential clients, contractors, training organizations, oil & gas companies, industrial companies, EPC contractors and other relevant organizations. Develop and maintain relationships with existing and prospective clients.
Support preparation of quotations, proposals, tenders, presentations and commercial offers. Coordinate with management regarding pricing, commercial proposals and business opportunities. Follow up with prospective clients and assist in converting leads into business.
Maintain a structured database of prospective clients, existing clients, vendors and business contacts. Monitor market trends, competitor activities and emerging business opportunities. Assist management in developing new services and market-entry strategies.
Participate in meetings, presentations and business-development activities with prospective clients and partners. Develop business relationships with corporate clients, contractors, consultants, training providers and other strategic partners.
D. Vendor, Instructor & Third-Party Management
Identify,
evaluate and coordinate with vendors, instructors, consultants, contractors and other third party service providers. Negotiate commercial terms, fees, payment terms and service arrangements within authority delegated by management. Prepare or coordinate agreements, terms and conditions, service arrangements and collaboration proposals.
Monitor vendor and third-party performance. Maintain an updated database of approved vendors, instructors and service providers. Coordinate onboarding and documentation of third-party service providers.
Escalate commercial, contractual or performance issues to management when required.
2 E. Recruitment & Workforce Solutions Support
Support Falcon's recruitment and manpower business activities in the U.S. and international markets. Coordinate with recruitment and operations teams in India and other countries for sourcing and deployment requirements. Assist in identifying client manpower requirements and preparing suitable proposals.
Coordinate candidate documentation, mobilization requirements and client communications. Support workforce planning, staffing proposals and project-based manpower requirements. Assist with coordination relating to onboarding, deployment, travel, accommodation and other logistical requirements where applicable.
Maintain appropriate records and databases relating to clients, candidates and manpower projects.
F. Content, Marketing & Corporate Communications
Prepare, edit and coordinate business content including: Articles Company profiles Website content Service descriptions Training descriptions Business presentations Corporate communications Draft, edit and review external emails and business correspondence. Prepare sales communications and client-facing materials. Develop and update brochures, flyers, presentations and other marketing materials.
Coordinate with digital marketing agencies and internal marketing teams. Provide operational and market information required for website and marketing campaigns. Ensure marketing and business communications are professional, accurate and aligned with Falcon's corporate image.
G. Course & Product Development
Conduct research on new training programs, certifications and professional development opportunities. Study U.S. and international market demand and identify potential new courses and services. Research competitors and comparable training providers.
Coordinate with instructors and subject-matter experts for development of course materials. Assist in preparing course outlines, presentations, brochures and other training materials. Recommend new products, services and training programs to management based on market demand.
Support pilot programs and implementation of new services.
H. Team Management Hire, train, supervise and manage coordinators, administrative personnel and support staff as authorized by management. Allocate work and establish priorities for team members. 3 Delegate responsibilities relating to: Accreditation Instructor sourcing Tenders Quotations Documentation Presentations Scheduling Client coordination Database management Administrative activities Monitor employee performance and productivity.
Provide training, guidance and operational support to team members. Report staffing requirements and performance issues to management.
I.
Management
Support & Special Projects Plan and execute tasks and projects assigned by senior management.
Support business expansion and establishment of new operational capabilities. Assist in setting up recent systems, processes, vendor networks and business relationships. Conduct research and prepare reports requested by management. Support the operations of Falcon's sister companies and affiliated businesses when instructed by management. Represent the company in meetings, discussions and business-development activities when authorized. Undertake other operational, administrative or commercial responsibilities reasonably assigned by management.

14 Contribution toward expansion of Falcon's U.S. and international operations
Management may establish specific numerical KRAs/KPIs/KRIs for revenue, client acquisition, training enrollments, business leads, operational costs, turnaround times and other performance parameters from time to time.

- EDUCATIONAL QUALIFICATION
Bachelor's degree or equivalent qualification in Business Administration, Management, Operations, Engineering, Human Resources, Marketing or a related field.
Relevant professional experience may be considered in lieu of formal qualifications at the discretion of management.
- ADDITIONAL TERMS & CONDITIONS
Preference may be given to candidates who already possess valid U.S. employment authorization or a U.S. visa permitting lawful employment, where applicable.
