: Manager Events
Role Overview The Manager – Events shall be responsible for planning, organizing, coordinating, and executing all institutional events, conferences, workshops, seminars, training programmes, meetings, and official functions organized by IIIDEM. The incumbent will ensure flawless execution of every programme by managing logistics, venue readiness, hospitality, participant experience, vendor coordination, protocol arrangements, and operational excellence.
The role requires a highly organized professional capable of delivering world-class participant experiences while ensuring every event reflects IIIDEM's standards of professionalism, efficiency, and institutional excellence.
Scope of Work
- Plan and execute all IIIDEM events and training programmes.
- Manage end-to-end event logistics and operations.
- Coordinate with protocol, administration, facilities, IT, security, hospitality, transport, and accommodation teams.
- Ensure participant experience and hospitality standards.
- Coordinate vendors, agencies, and event service providers.
- Prepare event plans, budgets, timelines, SOPs, and post-event reports.
Key Responsibilities
Event Planning
- Develop comprehensive event execution plans.
- Prepare event schedules, timelines, checklists, and operational plans.
- Coordinate programme calendars with different divisions.
Venue & Logistics Management
- Coordinate venue bookings, auditorium preparation, classrooms, conference halls, and training facilities.
- Ensure AV systems, branding, registration desks, signage, seating plans, and logistics are ready before every programme.
- Coordinate transportation, accommodation, catering, and hospitality.
Programme Execution
- Lead on-ground execution of conferences, seminars, workshops, training programmes, and institutional events.
- Ensure seamless coordination among all operational teams.
- Resolve operational issues during programme execution.
Protocol Coordination
- Coordinate with Protocol Team for VIP visits and dignitary management.
- Ensure protocol arrangements are executed smoothly.
- Support inauguration, valedictory sessions, and ceremonial functions.
Participant Experience
- Ensure a professional, comfortable, and engaging experience for all participants.
- Coordinate registration, help desks, participant communication, and feedback collection.
- Resolve participant issues promptly.
Vendor Management
- Coordinate event agencies, decorators, caterers, transport providers, hotels, and service providers.
- Monitor vendor performance and ensure service quality.
Budget & Administration
- Prepare event budgets and monitor expenditures.
- Ensure financial prudence and compliance during programme execution.
Reporting
- Prepare event completion reports.
- Maintain event documentation and participant databases.
- Submit management reports and event analytics.
Minimum Qualification Bachelor's/Master's Degree in Event Management, Hospitality Management, Tourism Management, Business Administration, Public Administration, Management, or any relevant discipline.
OR
Equivalent qualification with relevant professional experience.
Minimum Experience
- Minimum 8 years of experience in Event Management, Conference Management, Programme Coordination, Hospitality Management, or Institutional Administration.
- Experience in Government institutions, Universities, Convention Centres, Hotels, Training Institutes, or Event Management organizations will be preferred.
- Experience in managing large-scale national and international conferences is desirable.

Preferred Candidate Profile The ideal candidate should have proven expertise in planning and executing high-profile conferences, workshops, residential training programmes, and institutional events. The candidate should possess outstanding organizational, coordination, and leadership skills, with demonstrated experience in managing logistics, hospitality, protocol arrangements, and participant engagement.
Experience of handling events involving senior government officials, constitutional authorities, international delegates, and large-scale training programmes will be highly desirable. The ability to deliver seamless, participant-centric events while maintaining the highest standards of professionalism and operational excellence is essential.
