About The Role Protsahan India Foundation operates 5 centres in Delhi, with 50+ staff, each managing their own devices, alongside shared infrastructure — CCTVs, biometric attendance systems, WiFi networks, and programme equipment. As we scale, formal IT management is required for each of the 5 centers and the administrative office location.
The IT Systems Administrator will own all of this — not as a helpdesk ticket-taker, but as the person who makes sure none of it fails. You will be the single point of accountability for IT infrastructure, device health, data security, and digital compliance across all locations.
Key Responsibilities
- Device Management
- Manage 50+ laptops across 6 locations: setup, configuration, asset tagging, condition tracking, maintenance, and repair
- Maintain the IT asset register per Protsahan’s asset management SOPs — every device tracked by location, user, and condition
- Coordinate hardware procurement: obtain quotes, recommend vendors, and process purchase requests through Finance
- Manage device allocation for recent joiners and secure retrieval at exit — within the timelines defined in HR SOPs
- Initiate and document write-off requests for end-of-life devices per the disposal policy
- Network and Connectivity
- Manage WiFi, LAN, and internet connectivity at all 6 centre locations
- Troubleshoot network outages and connectivity issues; escalate to ISP vendors where required
- Maintain router and network device configurations; document network topology for each location
- Coordinate with ISP vendors on service quality, renewals, and upgrades
- CCTV Systems
- Maintain and monitor CCTV infrastructure at all 6 locations
- Manage CCTV storage: ensure recording continuity, footage retention per policy, and periodic storage health checks
- Control access to CCTV footage — only authorised personnel per the IT and Data Protection Policy
- Coordinate with CCTV vendors for installation, repair, and expansion
- Biometric Attendance Systems
- Maintain biometric attendance devices at all locations; ensure data sync and accuracy
- Coordinate with HR on attendance data extraction and troubleshoot device failures
- Manage device firmware and software updates; coordinate vendor support for hardware issues
- IT Helpdesk and Staff Support
- First-line IT support for all 50+ staff across 6 locations — hardware issues, software queries, account access problems
- Respond to support requests within 24 hours; resolve or escalate within 3 working days
- Provide hands-on support at centre locations through scheduled visits (minimum monthly) and emergency visits when required
- Conduct basic IT literacy orientation for new staff on Day 1 as part of the onboarding process
- Google Workspace Administration
- Administer Protsahan’s Google Workspace: create and deactivate user accounts, manage shared drives, set access permissions
- Enforce the Shared Drive folder structure per ADM SOPs — ensure staff create and store files in Shared Drive, not personal My Drive
- Manage storage quotas, conduct periodic access audits, and generate usage reports for ED
- Troubleshoot Google Workspace issues for staff
- IT Security and Data Protection Compliance
- Enforce Protsahan’s IT and Data Protection Policy across all locations
- Implement and maintain password policies, device locking, and access control practices
- Support compliance with DPDP Act 2023 requirements — data inventory, access logs, incident response
- Conduct quarterly IT security audits across all 6 locations and report findings to ED
- Manage software licensing: track all licences, renewals, and compliance — no unlicensed software on Protsahan devices
- Programme Equipment Support
- Support Canon DSLR camera geotagging setup at all GECs: Canon Camera Connect app pairing, Location Services configuration, and staff training per SOP-EE-07
- Troubleshoot programme AV equipment, projectors, and other tech used in GEC activities
- Ensure camera and device firmware is kept up to date
- Vendor Management
- Maintain a vendor register for all IT service providers: ISP, hardware, CCTV, biometric, software
- Obtain comparative quotes for hardware and service procurement per Finance SOPs
- Monitor vendor service quality and SLA compliance; escalate persistent issues to ED
Qualifications Required
- Diploma or degree in IT, Computer Science, Electronics, or a related field
- 2 to 4 years of experience in IT administration, systems administration, or IT helpdesk
- Hands-on experience managing Google Workspace (user admin, Shared Drive, permissions)
- Working knowledge of WiFi and LAN network management
- Experience with CCTV systems and/or biometric attendance devices
- Basic understanding of data protection and IT security principles
- Ability to work independently across multiple locations with minimal supervision
- Willingness to travel across all 6 Delhi centre locations as required
Preferred
- Prior experience in an NGO or social sector organisation
- Familiarity with DPDP Act 2023 (Digital Personal Data Protection) requirements
- Experience with asset management and maintaining IT asset registers
- Relevant certifications: CompTIA A+, Google Workspace Administrator, or equivalent
What We Expect This role is not a 9-to-5 desk job. When the biometric device at a centre fails on a Monday morning, you are the person who resolves it — not who logs a ticket and waits. You will be expected to:
- Be responsive. Staff across 6 locations depend on functional equipment to run their programmes.
- Be proactive. Don’t wait for things to break — maintain, audit, update.
- Own the documentation. Every device, every vendor, every access permission must be on record — not in your head.
- Understand the stakes. Protsahan works with vulnerable children. IT failures have programme consequences. Data breaches have child protection consequences.
