Job Title: HR Operations Specialist

Employment Type: Full-time

Location : Hyderabad

Experience: 3 to 5 Years

Joining: Immediate to 30 Days

Shift: US Shift / Night Shift - 5PM to 2AM IST

Work Model: 4 Days Work From Office, 1 Day Work From Home.

Role:

HR Operations Specialist is responsible for managing certification and qualified credential reimbursement processes across the organization, with a focus on clinical license reimbursement and licensing administration. This role reviews and validates reimbursement submissions, supporting documentation, receipts, certifications, and professional licenses to ensure accuracy, completeness, and compliance with company policies. In addition, the HR Operations Specialist will support employee and consultant lifecycle processes, HR documentation, workforce administration, HRIS maintenance, compliance activities, and other operational initiatives.

Certification/Clinical License & Reimbursement Review

- Manage, review, and track organization-wide certification, credential, professional license, and reimbursement submissions for completeness, eligibility, accuracy, and policy compliance.
- Validate receipts, invoices, certifications, licenses, renewal documentation, and other supporting materials, including credential details, issuing organization, jurisdiction, status, and expiration dates.
- Provide approved reimbursements to payroll and applicable repayment timelines, coordinating with employees, consultants, payroll, finance, HR, and other stakeholders to resolve discrepancies, missing documentation, and outstanding items.
- Maintain accurate, organized,



and audit-ready reimbursement and credential records and prepare reporting on submissions, approvals, payments, and pending items.
- Identify and implement opportunities to improve reimbursement review, documentation, tracking, and workflow processes.
- Review and verify clinical licensing information through applicable state licensing boards and portals, including license number, jurisdiction, status, and expiration date to document in HRIS system.

HR Operations & Workforce Administration

- Support employee and consultant lifecycle processes, including onboarding, changes, offboarding, documentation, and related administrative activities.
- Maintain accurate employee, consultant, certification, credential, and licensing information within HRIS and other internal systems.
- Support HRIS data maintenance and updates, including platforms such as UKG and Keka.
- Assist with HR documentation, compliance activities, audits, reporting, and workforce administration.
- Coordinate with HR, payroll, finance, operations, and other internal stakeholders to ensure accurate and timely completion of HR operational processes.
- Maintain confidential, organized, and accurate employee and workforce records.
- Support process improvements and operational initiatives that enhance efficiency, accuracy, compliance, and employee experience.




- Perform other HR operations and administrative responsibilities as assigned.

Qualifications:

- Experience in HR Operations, workforce administration, certification/licensing administration, reimbursement processing, or a related operational role.
- Experience reviewing certification, credential, license, expense, or reimbursement submissions and supporting documentation.
- License verification for clinical or professionals experience preferred, including familiarity with state licensing boards and portals.
- Strong attention to detail with the ability to identify discrepancies, missing documentation, and eligibility issues.
- Experience coordinating reimbursements, payments, payroll inputs, accounts payable, or related financial processes.
- Knowledge of HR operations and employee/consultant lifecycle processes.
- Experience with HRIS platforms such as UKG and Keka preferred.
- Proficiency in Microsoft Office, particularly Excel and reporting.
- Ability to handle confidential information with discretion.

Preferred Qualifications:

- Experience managing organization-wide certification, credential, or reimbursement programs.
- Experience supporting clinical or healthcare professional licensing across multiple U.S. states.
- Experience with professional certifications, continuing education, examinations, or credentialing processes.
- Experience supporting multi-state or distributed workforce operations.
- Familiarity with audit, compliance, and documentation requirements.
- Experience improving and standardizing operational processes and workflows.
