Location: Thane West, Mumbai

Employment Type: Internship

Reporting To: HR Executive / HR Manager

- JOB PURPOSE The HR Intern will support the HR Department in day-to-day HR operations, recruitment, employee coordination, documentation, attendance management, onboarding, employee engagement, and HR process development.

The intern will gain practical exposure to various HR functions while assisting the HR team in maintaining an organized, professional, and employee-friendly workplace.
- KEY RESPONSIBILITIES

A. Recruitment & Talent Acquisition

Assist in sourcing candidates through job portals, social media, references, and other recruitment channels.

Screen CVs and shortlist candidates based on job requirements.

Coordinate with candidates regarding interview schedules.

Conduct initial communication with candidates.

Maintain candidate databases and recruitment trackers.

Follow up with candidates regarding interview attendance and joining status.

Coordinate interview schedules with the concerned department heads.

Maintain records of shortlisted, rejected, selected, and joined candidates.

Assist in preparing offer letters, appointment letters, internship letters, and other HR documents.

B. Employee Onboarding

Coordinate the joining process for current employees.

Collect and verify required employee documents.

Maintain employee personal and employment records.

Assist in preparing joining forms and onboarding checklists.

Coordinate introduction of new employees to the team.

Assist in induction and orientation programs.

Ensure new employees are added to relevant communication groups and HR systems.

Maintain proper onboarding documentation.

C. Attendance & Leave Management

Maintain daily employee attendance records.

Monitor late coming, absenteeism, leave, and early departures.

Assist in maintaining leave records.

Follow up with employees regarding attendance irregularities.

Prepare attendance reports for HR review.

Assist in monthly attendance reconciliation.

Coordinate with employees and reporting managers regarding attendance-related queries.

D. Employee Records & HR Documentation

Maintain updated employee master data.

Organize employee files and documentation.

Maintain records of Aadhaar, PAN, educational documents, experience letters, bank details, photographs, and other required documents.

Assist in maintaining employee joining and exit records.

Ensure HR documents are properly filed and updated.

Maintain confidentiality of employee information.

E. HR Operations

Assist with daily HR administrative activities.

Prepare HR reports, trackers, and MIS.

Maintain recruitment and employee databases.

Assist in preparing HR communications and notices.

Coordinate with employees and department heads for HR-related requirements.

Support implementation of HR policies and procedures.

Assist in maintaining HR calendars and employee-related schedules.

F. Employee Engagement

Assist in organizing employee engagement activities.

Coordinate birthday celebrations, employee events, festivals, and team activities.





Support Employee of the Month initiatives.

Collect employee feedback where required.

Assist in maintaining employee engagement records.

Support initiatives to improve employee communication and workplace culture.

G. Performance Management & HRIS

Assist in maintaining employee performance records.

Support the HR team in collecting performance feedback from reporting managers.

Assist in maintaining KPI and performance assessment records.

Support the implementation of the company's HRIS / Performance Management System.

Assist in updating employee information and HR data in the company application.

Help maintain performance review trackers and reports.

Support Employee of the Month evaluation processes.

H. Learning & Development

Assist in identifying employee training requirements.

Coordinate training sessions and workshops.

Maintain training attendance and participation records.

Collect employee feedback after training programs.

Assist in preparing training calendars.

Maintain Learning & Development documentation.

I. Employee Communication

Draft and circulate HR-related communications.

Coordinate with employees through email and WhatsApp groups when required.

Communicate interview schedules, joining instructions, HR notices, and internal announcements.

Maintain professional communication with candidates and employees.

Assist in resolving basic employee queries and escalate complex matters to the HR Manager.

J. Exit & Separation Support

Assist in the employee resignation and exit process.

Maintain resignation and exit documentation.

Coordinate exit formalities and clearance requirements.

Assist in collecting exit feedback.

Update employee records after separation.

Coordinate with relevant departments for exit-related documentation.

- DAILY HR ACTIVITIES The HR Intern may be responsible for:

Checking attendance and leave records.

Following up with candidates.

Scheduling interviews.

Updating recruitment trackers.

Maintaining employee records.

Coordinating with employees and reporting managers.

Updating HRIS / HR application data.

Preparing HR reports and documents.

Supporting ongoing HR activities.

Handling routine HR coordination and administrative work.

- SKILLS REQUIRED

Technical Skills

Basic knowledge of MS Excel / Google Sheets.

Basic knowledge of MS Word.

Good email drafting skills.

Basic understanding of recruitment processes.

Ability to maintain trackers and databases.

Basic understanding of HR functions.

Willingness to learn HRIS and HR technology.

- EDUCATIONAL QUALIFICATION

Bachelor's degree in Human Resources, Business Administration, Management, Commerce, or a related field.

Students pursuing BBA / BMS / MBA / PGDM in HR may also be considered.

Experience: 0–1 year

- WORKING HOURS

Working Hours: 10:00 AM to 7:00 PM

Working Days: Monday to Saturday The employee/intern may be required to support urgent HR activities or business requirements outside normal working hours when reasonably required.
