Who we are looking for

We are looking for an early-career HR & Operations Fellow to support and strengthen the day-to-day people and organisational processes at CivicDataLab.

This is a hands-on role for someone who has a foundational understanding of Human Resources and wants to build practical experience across HR operations, employee lifecycle, hiring, People & Culture and organisational processes.

The Fellow will work closely with the People & Culture Lead, taking ownership of defined HR and operational processes while supporting wider People & Culture initiatives.

This role would be a good fit for someone with an MBA/PGDM in Human Resources or a related field, with around 1–2 years of experience in HR, who is keen to move beyond textbook HR and understand how people practices work in a growing, multidisciplinary organisation in the social sector.

Why this fellowship?

This fellowship is designed for an early-career HR professional who wants to build a strong foundation across HR Operations, People & Culture and organisational processes.

You will not be working within a single HR vertical. Instead, you will get exposure to different stages of the employee and organisational lifecycle - from hiring and onboarding to HR operations, policies, employee engagement, performance processes and exits.

You will work directly with the People, Culture & Engagement Lead, with regular opportunities for hands-on learning, feedback and mentorship. You will have the opportunity to understand not just what HR processes are, but why they exist, how they work in practice and how they can be improved.

The role will also give you an opportunity to contribute to building and strengthening the systems and practices that help CivicDataLab grow as an organisation, while developing an understanding of people-management within the social-sector ecosystem.

Requirements

What you will do The role spans four broad areas - HR Operations, People & Culture, Hiring and Organisational Operations. You will start by supporting and owning defined processes, and gradually take on greater responsibility as you become familiar with CivicDataLab's systems and ways of working. 1. HR Operations & Employee Lifecycle

- Take ownership of day-to-day HR operations and employee records, ensuring information is accurate, updated and easily accessible.
- Manage HR systems and tools, including Zoho, and create and manage user accounts and relevant employee information.
- Maintain leave records, generate periodic reports and prepare the annual leave calendar.
- Support onboarding and joining formalities for current employees, including documentation, policies,



systems access and organisational information.
- Maintain employee records through different stages of the employee lifecycle, including role, compensation and other employment-related changes.
- Support exit formalities and ensure relevant documentation and records are completed.
- Maintain records of systems, gadgets and other organisational assets issued to employees.
- Support coordination with Finance on attendance, leave and other HR inputs required for payroll and related employee payments.

2. Contracts, Policies & People & Culture

- Coordinate documentation relating to new contracts, consultancy agreements, fellowship agreements, extensions and exits.
- Support preparation and processing of experience letters, amendment letters and other employee-related documentation.
- Coordinate signatures and execution of contracts and other organisational paperwork, and maintain an organised repository of HR documentation.
- Act as an accessible first point of contact for routine People & Culture-related queries and concerns, escalating matters to the People & Culture Lead when required.
- Support regular employee check-ins, employee listening and feedback initiatives, and follow up on issues and action points.
- Support employee engagement initiatives, internal events, workplace sensitisation and other People & Culture activities.
- Work with the People & Culture Lead to periodically review, update and improve organisational policies, SOPs and internal processes.
- Support the implementation and communication of policies and processes and flag areas that require attention.
- Support documentation and coordination related to POSH and other workplace compliance requirements, as applicable.
- Help translate HR frameworks and principles into practical processes suited to CivicDataLab's way of working.

3. Hiring & Talent Support

- Maintain and regularly update the CivicDataLab Careers page and ensure that open positions and related information are current.
- Support the Hiring Lead, wherever applicable, in managing the hiring funnel, including job postings, candidate coordination, interview scheduling, recruitment trackers and documentation.




- Coordinate with the Hiring Lead and external recruitment partners when required.
- Support candidate outreach and other talent outreach activities.
- Assist with onboarding recent employees and help them understand CivicDataLab's processes, policies and ways of working.

4. Workplace & Organisational Operations

- Support and coordinate day-to-day office operations at 91SpringBoard.
- Track adherence to office timings and the organisation's hybrid-work practices and maintain relevant records.
- Coordinate with the office/service provider and internal teams to resolve routine operational requirements.
- Maintain organisational calendars and support the planning and coordination of internal meetings and activities.
- Support internal communication and coordination related to organisational processes and activities.
- Identify gaps in existing operational processes and suggest practical improvements.
- Support the documentation and streamlining of organisational processes and workflows.

5. HR Data, Reporting & Performance Processes

- Maintain HR and operational trackers and generate periodic reports for review by the People & Culture Lead and leadership.
- Maintain accurate people data and support the development of simple HR dashboards and reports.
- Generate reports relating to areas such as headcount, leave, hiring and other people-related metrics, as required.
- Support the People & Culture Lead in coordinating the annual performance and salary revision cycle, including trackers, timelines, documentation and follow-ups.
- Identify patterns, gaps or recurring issues in HR data and flag them for review.
- Document HR and operational processes so that they are clear, consistent and easy to follow.

What you bring

- An MBA/PGDM in Human Resources, People Management or a related field.
- Around 1-2 years of experience in HR, preferably with exposure to HR operations, recruitment or employee engagement.
- Good working knowledge of GSuite and familiarity with HR tools and systems.
- Familiarity with HRMS/HR tools; experience with Zoho would be an advantage.
- Strong written and verbal communication skills in English.
- Good organisational and coordination skills, with an ability to manage multiple tasks and timelines.
- Attention to detail, particularly when working with employee records, contracts and organisational documentation.
- Ability to maintain confidentiality, discretion and sound judgement when handling people-related information and situations.
- A willingness to learn, adapt and work across different kinds of HR and organisational responsibilities.
