ROLE SUMMARY The HR Manager leads day-to-day HR operations for multiple restaurant outlets, with a strong focus on recruitment coordination (including university tie-ups), employee documentation, onboarding/offboarding, payroll input support, policy execution, and oversight of outlet-level welfare functions. The role works closely with restaurant teams, the Accounts/Payroll team, and outlet welfare staff to ensure smooth hiring, compliant records, consistent policy application, and timely HR processes.
KEY RESPONSIBILITIES
1) End-to-End Recruitment — City Hiring Ownership
- Own the complete hiring cycle for the assigned city — requisition to joining — for all restaurant outlets and corporate roles.
- Collect and validate manpower requirements from Outlet Managers, Chefs and Head HR, confirming role, headcount, budget and joining date.
- Source candidates through job portals, referrals, walk-ins, local channels and social media as per open requirements.
- Cold call and screen candidates for role fit, availability, location, shift comfort and salary expectation.
- Build university and hotel-management college tie-ups for campus hiring, internships and placements; coordinate drives and track outcomes.
- Maintain a live tracker of open positions and a ready candidate database for high-turnover roles.
- Follow up from offer to joining to minimise drop-offs, and report city hiring status to management.
2) Interview / Trial Scheduling & Coordination
- Schedule interviews and trials; share venue, timing, reporting manager, and trial instructions with candidates.
- Coordinate with restaurant teams for trial setup, attendance, and feedback collection.
- Ensure timely follow-ups with candidates and stakeholders to reduce drop-offs and delays.

Offer Letter Drafting & Onboarding Documentation
- Draft and issue offer letters and joining communications as per approved formats.
- Prepare and manage the new hire checklist (joining forms, policies, basic HR briefing).
- Collect and validate joining documents and ensure completeness before payroll processing.
4) Employee Documentation & Records Management
- Collect, organize, and securely maintain employee documents (ID/address proof, bank details, etc.).
- Maintain digital and physical employee files; ensure confidentiality and easy retrieval.
- Coordinate documentation requirements with Accounts/Payroll for salary processing and compliance.
5) Exit Documentation & Final Clearance
- Maintain resignation/exit records and initiate exit checklist and clearance workflow.
- Coordinate with outlet teams and Accounts for recoveries, handovers, and final settlement inputs.
- Ensure all exit documentation is completed and records are updated.
6) Monthly Payroll Input Support
- Support collection of payroll inputs (attendance/leave/shift details where applicable) from restaurant teams.
- Validate employee details (bank, ID, joining/exit dates) and share inputs with Accounts on time.
- Track pending payroll documentation and follow up for closure.
7) Welfare Manager Oversight & Audit
- Periodically audit the Welfare Manager's task execution against assigned responsibilities and outlet welfare checklists.
- Review completion status, turnaround time, and quality of welfare-related tasks across outlets.
- Flag gaps, delays, or non-compliance to management and track corrective closure.
8) Policy Execution
- Ensure HR policies (including the Matrix Policy and related attendance/overtime guidelines) are implemented consistently across all outlets.
- Monitor policy adherence, address violations, and escalate recurring issues.
- Support policy rollouts, updates, and communication to outlet teams.
9) Monthly Dashboards & HR Reporting
- Prepare monthly HR/business dashboards (headcount, hiring status incl. university pipeline, attrition, documentation pending, payroll input status, welfare audit status, policy compliance).
- Maintain trackers and share updates with management as required.
10) Admin & Office Support
- Handle printouts, filing, and upkeep of HR forms/material stock (folders, stationery, templates).
- Support miscellaneous administrative tasks assigned by the Executive Team related to HR operations.
SKILLS & REQUIREMENTS
- Graduate preferred (any stream); HR/Admin exposure is a plus.
- Solid coordination and people-management skills; comfortable working across multiple outlets and stakeholders.
- Good communication skills (calling, follow-ups, and candidate handling).
- Basic drafting ability for HR formats (offers, emails, checklists, policy notes).
- Working knowledge of MS Excel / Google Sheets for trackers and dashboards.
- High attention to detail, punctuality, and confidentiality with employee information.
- Ability to review and audit others' work objectively and give constructive feedback.
KEY PERFORMANCE INDICATORS (KPIs)
- Hiring support turnaround time (sourcing-to-scheduling), interview/trial coordination success rate.
- University tie-up outcomes (drives conducted, hires/interns sourced).
- Employee file completeness and reduction in pending documentation.
- Timely and accurate payroll input submission to Accounts.
- Onboarding and exit checklist completion timelines.
- Welfare Manager audit completion rate and closure of flagged gaps.
- Policy compliance rate across outlets.
- Dashboard accuracy and on-time monthly reporting.
Job Types: Full-time, Permanent Pay: ₹15,000.00 - ₹25,000.00 per month
