Position: HR Compliance Executive

Job Summary

We are looking for a detail-oriented and responsible HR Compliance Executive to manage statutory compliance requirements along with day-to-day HR operations.

The role will be responsible for statutory compliance, payroll coordination, attendance management, employee documentation, HR records, contractor compliance.

Key Responsibilities

1. Statutory & Labour Law Compliance

- Manage and ensure timely completion of applicable statutory and labour law compliances.
- Maintain a monthly, quarterly and annual compliance calendar.
- Coordinate with statutory consultants and relevant authorities for compliance-related matters.
- Ensure timely filing of statutory returns and payment of statutory dues.
- Maintain statutory registers, records, notices and other required documentation.
- Monitor changes in labour laws and communicate applicable changes to the report manager.
- Ensure compliance requirements are followed as per applicable laws and company policies.

1. Payroll Processing & Statutory Inputs

- Coordinate and support the monthly payroll process from attendance validation to final payroll inputs.
- Collect and verify monthly payroll inputs.
- Verify attendance, leaves, late marks, miss-punches, overtime, incentives, deductions and other payroll-related inputs.
- Coordinate with the reporting manager for accurate and timely salary processing.
- Verify statutory deductions including PF, ESIC, Professional Tax, LWF, TDS and other applicable deductions.
- Coordinate for monthly PF/ESIC and other statutory payment and return processes.
- Check payroll reports and identify discrepancies before salary processing.
- Maintain payroll-related documentation and records.
- Support payroll reconciliation and resolution of employee salary-related queries.

1. Attendance & Leave Management

- Take ownership of monthly attendance tracking and closure.
- Monitor daily attendance, absenteeism, late marks, miss-punches and regularization requests.
- Ensure employees follow the approved attendance process/HRMS system.
- Coordinate with concerned employees and reporting managers for pending attendance issues.
- Verify attendance data before payroll processing.
- Monitor leave applications, approvals, balances and unauthorized absences.




- Prepare monthly attendance MIS and highlight discrepancies.
- Ensure attendance records are properly maintained for payroll and statutory purposes.

1. Employee Records & HR Documentation

- Maintain complete and updated employee personnel files and HR records.
- Ensure joining documentation, KYC, bank details, statutory forms and other employee documents are complete.
- Maintain records related to:
- Appointment letters
- Employee master data
- Attendance
- Leave
- Payroll
- PF/ESIC
- Transfers
- Promotions
- Resignations
- Full & Final Settlements
- Ensure employee records are accurately updated in the HRMS/HR system.
- Maintain confidentiality of employee and payroll information.

1. Contractor & Third-Party Compliance

- Monitor applicable statutory compliance requirements for contractors and manpower agencies.
- Verify contractor documentation relating to wages, attendance, PF, ESIC and other applicable statutory requirements.
- Ensure required licences, registrations and statutory documents are valid and renewed on time.
- Maintain contractor compliance records and follow up for pending documents.
- Coordinate with relevant internal teams and external agencies for compliance-related requirements.

1. Audit & Statutory Inspection

- Prepare documents and records required for internal, statutory and external audits.
- Coordinate during labour department, PF, ESIC or other statutory inspections.
- Maintain inspection reports, notices and official correspondence.
- Track audit observations and ensure corrective actions are completed within defined timelines.
- Maintain proper audit trails and supporting documents.

1. Licences, Registrations & Renewals

- Maintain a centralized tracker of applicable registrations, licences, certificates and renewals.
- Monitor expiry dates and initiate renewal processes well in advance.
- Coordinate for new registrations, amendments and renewals.
- Maintain proper documentation for all statutory registrations and licences.

1. HR MIS & Reporting





Prepare and maintain regular HR and compliance MIS, including:
- Monthly attendance report
- Payroll input report
- Leave report
- Headcount report
- Joining & exit report
- PF/ESIC compliance status
- Contractor compliance report
- Statutory compliance tracker
- Licence/renewal tracker
- Pending documentation report
- Absenteeism and attendance analysis

Escalate delays, discrepancies or compliance risks to the Reporting Manager.
1. HR Policy & Process Compliance

- Support implementation of HR policies and processes.
- Ensure employees and departments follow defined HR procedures.
- Assist in updating HR policies based on changes in statutory requirements.
- Maintain proper documentation for HR processes and approvals.
- Support the HR team in ensuring consistent implementation of company policies and procedures.

Required Skills & Qualifications
- Bachelor's degree in Commerce, HR, Business Administration, Law or a related field.
- 2–5 years of experience in HR operations and statutory compliance.
- Strong knowledge of Indian labour and statutory compliances.
- Good working knowledge of:
- PF
- ESIC
- Professional Tax
- LWF
- TDS
- Bonus
- Gratuity
- Shops & Establishments
- Applicable labour compliances
- Practical experience in payroll processing and attendance management.
- Good knowledge of MS Excel and HRMS/payroll systems.
- Strong documentation and follow-up skills.
- Good communication and coordination skills.
- Ability to manage multiple deadlines and responsibilities.

Preferred Experience
- Experience in HR operations and statutory compliance.
- Experience handling payroll and attendance processes.
- Experience managing compliance across multiple locations or employee categories.
- Experience coordinating with payroll/statutory consultants.
- Experience with contractor/manpower compliance.
- Experience handling statutory audits and inspections.
- Knowledge of HRMS/attendance systems such as Spine or similar HRMS/payroll software.

Role Ownership The person will be responsible for managing and coordinating the complete HR The role requires strong ownership, accuracy, timely follow-up and the ability to ensure that HR operations, payroll inputs and statutory compliance are completed accurately and within defined timelines. Pay: Up to ₹40,000.00 per month
