This role anchors the operational and compliance function of the family office. This includes cross-border filings, entity administration, portfolio data integrity, and the working relationships with the banks, advisors and fund managers the office depends on.
The role entails strategic alignment with family goals: reading across tax, international compliance, trust and LLP structuring, and banking relationships to keep the office ahead of its own deadlines, not just reacting to them.
This is a senior, largely autonomous mandate. Family office operations experience is preferred but not mandatory. On-the-job learning is expected specifically for ODI/OPI and other family-office-specific processes.
Responsibilities:
Cross - Border transections and compliance
- End-to-end management of ODI and OPI reporting — structuring, documentation, remittance coordination with the bank, Form FC certification with the family CA, and quarterly filing.
- Liberalised Remittance Scheme (LRS) administration across family members — tracking utilisation against annual limits per individual, preparing Form A2 and supporting declarations, coordinating remittances with the authorised dealer bank, and maintaining the audit trail for overseas investments and offshore accounts.
- Offshore entity compliance for the group structures: annual returns and AGMs, IRAS tax filings, statutory records, and coordination with the corporate secretary and tax agents.
- Liaison with the appointed Big Four advisor on Place of Effective Management (POEM) analysis across the group's cross-border holding structure.
- LLP formations and administration for recent investment vehicles; ROC filings and related secretarial work.
Tax, Trust and Succession
- Coordination of ITR filings and entity financials with the family CA.
- Advance tax, trust administration and reporting cycles with the offshore trustee and administrator.
- Support on domestic and overseas trust and will formation for succession planning.
- Assembling cost-basis and transaction history across two decades of holdings.
Portfolio Data and reporting
- Ownership of the family office reporting platform as the source of truth: historical data migration, position tagging, valuation reconciliation across custodians.
- Monthly statement collection and reconciliation across roughly a dozen institutions — private banks, wealth platforms, PMS managers and AIFs.
- Consolidated cross-asset portfolio reviews and strategic insight summaries for family decision-making.
Banking onboarding and assets consolidation x
- KYC and re-KYC cycles across all entities and family members, in India and offshore.
- Digital onboarding onto new investment platforms and funds; mapping and consolidating assets across banking relationships.
- Fund drawdowns, capital calls and distributions — tracking notices, arranging payment, confirming credit.
Real Estate and group companies
- Oversight of property documentation, mutation processes and developer payment schedules.
- Support on group company matters including share certificates, board records and transaction documentation.
Family Engagement
- Maintains regular,
direct communication with family members on ops and financial matters — comfortable being a direct, trusted point of contact for the family.
- At least one in-person visit or meeting each month with senior family members.
Stakeholder Management The role coordinates a wide external network — private bankers, custodians, wealth advisors, execution partners, Big Four advisors, the family CA, offshore corporate secretaries, fund managers and trustees. Keeping these parties aligned and to timetable is a substantial and continuous part of the work.
Qualifications
- Experience — 7–10+ years in a family office, asset management (AMC), private banking operations, wealth-management firm, Big Four compliance or tax, or a similar multi-entity financial operations role.
- Organisation — a high standard of personal organisation, and comfort bringing structure to complex, multi-party processes.
- Judgement — a clear sense of which decisions sit with the role, which belong to the family, and which require a professional's sign-off.
- Composure — steadiness under a calendar of statutory deadlines that do not move.
- Discretion — handles highly sensitive family financial and personal information; discretion and confidentiality are non-negotiable.
