AIR / FLIGHT OPERATIONS Executive

ABOUT THE ROLE
This is an entry point into corporate air ticketing. You will learn how a corporate flight booking actually works — from a client's travel request arriving on email or the CoTrav platform, to a PNR being created in a GDS, to a ticket being issued, to the booking being filed correctly for billing.
You will start on domestic, point-to-point bookings under supervision and move to more complex work as your accuracy and speed improve. Expect to spend your first weeks learning airline codes, city codes, fare basics, baggage rules, and CoTrav's booking SOPs before you handle live requests independently.
This role suits someone who is genuinely interested in aviation and travel, is comfortable working fast on a screen, and is careful enough to double-check a passenger name before pressing issue. Many of our air operations executives started here.
KEY RESPONSIBILITIES
1. Learning the Booking Process
- Learn GDS navigation — availability display, fare display, PNR creation, ticketing entries — on the system CoTrav assigns you (Galileo, Amadeus or Sabre).
- Understand airline codes, airport and city codes, class of service, fare basis codes and baggage allowances.
- Learn CoTrav's internal booking workflow, approval requirements and documentation standards.
2. Supporting Live Bookings
- Search and shortlist domestic flight options against the traveller's requested dates,
timings and corporate travel policy.
- Create PNRs for straightforward domestic itineraries and submit them for checking before issuance.
- Verify passenger name, date of birth, contact details and travel dates against the client's request before any booking is finalised.
- Send booking confirmations and e-tickets to travellers and client travel desks in CoTrav's standard format.
3. Documentation & Follow-up
- Maintain booking records, request trackers and daily work logs accurately and on time.
- Follow up on pending confirmations, time-limit queues and incomplete requests, and flag anything at risk to your reporting executive.
- Assist the team with basic cancellation and refund documentation.
4. Client Communication Support
- Respond to straightforward traveller queries on schedules, baggage allowance and booking status under guidance.
- Escalate any change request, disruption or complaint to a senior team member immediately rather than attempting it alone.
5. Ticketing & Issuance
- Independently handle domestic and straightforward international bookings end to end: search, hold, confirm, issue.
- Apply the client's corporate travel policy, preferred airlines and approved fare bands when presenting options.
- Issue tickets within agreed TAT and within ticketing time limits, managing GDS queues so that no PNR auto-cancels.
- Apply correct fare,
tax and service-fee components as per CoTrav's billing structure.
6. Changes, Cancellations & Refunds
- Process date changes, routing changes and cancellations, calculating airline penalties and fare differences correctly.
- Raise and track refund requests with airlines and consolidators, and follow up until credit is received.
- Maintain clean documentation for every change original booking, revised booking, charges applied and client approval.
REQUIREMENTS
- Graduate in any discipline. A diploma or degree in Travel & Tourism, Aviation or Hospitality is an advantage but not mandatory.
- 0–1 year of experience. Freshers with an IATA or GDS certification, or a travel internship, are welcome.
- Working knowledge of MS Excel and Outlook, and comfort typing quickly and accurately.
- Clear spoken and written English; ability to write a professional email without supervision.
- Willingness to work in shifts and to support urgent requests outside standard hours when the team needs it.

WHAT SUCCESS LOOKS LIKE
- By month 3: you can independently build and confirm a standard domestic return itinerary with zero name or date errors.
- By month 6: you are handling live domestic booking volume with minimal checking, and have begun on simple international itineraries.
- Your trackers are current at the end of every shift and nothing sits pending without an owner and a next step.
