Role: Customer Service Representative Order to Cash (O2C)

Job Summary

Artivo Surfaces is looking for experienced, detail-oriented and customer-focused Customer Service Representative to join its Order Intake team for O2C voice process.

In this role, the ideal candidate should possess 2 to 3 years of CSR experience in an international voice process with advanced level verbal and written communication skills (USA/ UK preferred).

The candidate will serve as a key point of contact for customers throughout the order lifecycle from order entry to creating purchase orders and customer query resolution. You are required to work closely with Sales, Logistics, Credit and Finance teams to ensure orders are processed accurately and efficiently, and that customers receive a seamless, professional experience at every touchpoint.

Key Responsibilities

- Handle customer calls and manage the end-to-end order lifecycle related to order lifecycle including - Order intake/ Order Entry, Order confirmations, create Purchase Orders, Shipment and delivery tracking and status updates, Item Pricing, Quotations thought the ERP/CRM system.
- Work closely with Purchasing, Sales, Warehouse/ Logistics and Credit/ Finance teams to resolve order holds, stock shortages and shipment delays.
- Serve as the primary point of contact for customer inquiries related to orders, pricing, delivery schedules, invoices, credit notes, and returns.
- Review and validate customer purchase orders for accuracy (pricing, quantities, delivery terms) prior to processing.
- Coordinate with Sales, Warehouse/Logistics, and Credit Control teams to resolve order holds, stock shortages, and shipment delays.
- Monitor open orders and backorders, proactively communicating status updates and expected resolution timelines to customers.




- Investigate and resolve customer complaints, discrepancies, and escalations related to billing, shipping, or order fulfilment.
- Process and track customer returns, refunds, and adjustments in line with company policy.
- Identify recurring issues in the O2C process and recommend process improvements to enhance accuracy, efficiency, and customer satisfaction.

Required Qualifications & Experience

- Bachelor's degree in any stream.
- 2 to 4 years of relevant experience in customer service, order management, order-to-cash, billing functions.
- Hands-on experience working with ERP systems for order entry.
- Working knowledge of the O2C cycle, including order entry
- Proficiency in Microsoft Excel and Office applications; experience with CRM or ticketing tools is a plus.
- Experience in a manufacturing, distribution, or surfaces/building materials industry is an advantage but not mandatory.
