Position Overview
The Facility Manager is responsible for ensuring the efficient operation, maintenance, and safety of facilities while overseeing minor technical projects and Environmental, Social, and Sustainability (ESS) initiatives. This role combines day-to-day facility operations including soft services with project coordination and sustainability program implementation.
Key Responsibilities
Facility Operations & Maintenance
Oversee daily facility operations including HVAC, electrical, plumbing, and building systems to ensure optimal performance and minimal downtime. Manage preventive and corrective maintenance programs, coordinate with vendors and contractors, and ensure compliance with health, safety, and building codes. Respond promptly to facility-related issues and emergencies while maintaining accurate records of all maintenance activities and building systems.
Minor Technical Projects
Plan, coordinate, and execute minor technical projects such as office reconfigurations, equipment installations, lighting upgrades, and minor renovations. Develop project timelines and budgets, coordinate with internal stakeholders and external contractors, and ensure projects are completed on time, within budget, and to quality standards. Manage project documentation and obtain necessary permits and approvals.
Environmental, Social & Sustainability (ESS)
Implement and monitor sustainability initiatives including energy efficiency programs, waste reduction, and recycling programs. Track and report on key ESS metrics such as energy consumption, water usage, waste diversion rates, and carbon footprint. Support the organization's sustainability goals and certifications (LEED, BREEAM, etc.), promote sustainable practices among building occupants, and identify opportunities for continuous improvement in environmental performance.
Vendor & Contract Management
Select, negotiate with, and manage relationships with service providers, contractors, and suppliers. Ensure service level agreements are met, review vendor performance regularly, and manage vendor invoicing and budget tracking.
Health, Safety & Compliance
Ensure facility compliance with all applicable regulations, building codes, and safety standards. Conduct regular safety inspections and risk assessments, maintain emergency preparedness plans and conduct drills, and coordinate with relevant authorities on compliance matters.
Budget & Financial Management
Develop and manage facility operating budgets, track expenses against budget allocations, identify cost-saving opportunities, and prepare financial reports for management review.
Required Qualifications
Education: Diploma / Bachelor's degree in Facility Management, Engineering, Construction Management, Environmental Science, or related field.
Experience: Minimum 5-7 years of facility management experience with demonstrated knowledge of building systems and operations. Proven experience managing minor technical projects from planning through execution. Understanding of ESS principles and experience implementing sustainability initiatives.
Technical Skills: Strong knowledge of building systems (HVAC, electrical, plumbing, fire safety). Proficiency in CMMS software and facility management systems. Understanding of sustainability metrics and reporting frameworks. Working knowledge of relevant building codes and safety regulations. Competency in MS Office.
Soft service skills: Soft Services Materials and Operations Management, Event and Food & Beverage Coordination Daily Documentation and Monitoring, Facilities Management Tracking, Workspace Readiness, Compliance and Asset Management, Quality Inspections, Program and Communications Tracking, Scheduled Service Oversight, Specialized Area Inspections, Critical Area Monitoring Dedicated cleaning tracker for critical location maintenance and sanitation. Operational Walkthroughs Cafeteria and kitchen operations monitoring with regular floor inspection walkthroughs.
Core Competencies:

Working Conditions
Office-based with regular site visits throughout assigned facilities. May require occasional evening or weekend work for emergency responses or project requirements. Some physical activity including walking facilities, climbing stairs, and inspecting equipment.
