Job Type: Full-time, On-site

Department: Documentation & Admissions Processing

About the Role

We are hiring detail-oriented Documentation Executives for our international admissions team. This is a back-office accuracy role, not a sales role.

You will be responsible for collecting, checking, verifying, and uploading student documents for university admission and visa processing, and for keeping every student file updated on the portal and CRM on a daily basis.

Candidates from banking, NBFC, insurance, or finance sector documentation (KYC, loan processing, account opening, credit operations, or back-office verification) are an excellent fit for this role. If you have been trained to verify identity and legal documents, catch mismatches, and process files with zero errors, your skills transfer directly. Full training on academic and university documentation will be provided.

The ideal candidate knows documents thoroughly, can spot an error or mismatch in a marksheet or affidavit at first glance, and takes full ownership of a student file from first document to final submission.

Key Responsibilities

- Collect and verify student documents: Grade 10 and Grade 12 marksheets, passing certificates, NEET scorecard, passport, birth certificate, photographs, and supporting papers

- Check Grade 12 marksheets in detail: board, year of passing, subject combination (Physics, Chemistry, Biology, English), marks and percentage calculation, and eligibility against university and regulatory criteria

- Verify name, date of birth,

and parent name consistency across marksheets, passport, Aadhaar, and all other documents, and flag every mismatch immediately

- Review affidavits for correctness of format, content, stamp paper value, notarisation, and signatures (name-change / name-mismatch affidavits, gap-year affidavits, sponsor and financial affidavits)

- Check financial and sponsor documents such as bank statements, balance certificates, and sponsor declarations for completeness and consistency

- Guide students and parents on notarisation, apostille / MEA attestation, and translation requirements, and check the completed documents

- Scan, name, and upload documents on the university admission portal and internal systems in the correct format, size, and sequence

- Update the portal and CRM constantly so that every student's file status is accurate and current at all times

- Maintain a pending-document tracker for each student and follow up with students, parents, and counsellors until the file is complete

- Prepare complete admission and visa files as per the checklist, with zero missing or incorrect pages

- Identify doubtful, tampered, or inconsistent documents and escalate them to the team head

- Coordinate with counsellors, the admissions team, and the university office to resolve queries and re-submissions quickly

- Meet daily file-processing targets and submission deadlines for each intake

- Maintain strict confidentiality of student records and personal data

Desired Candidate Profile

- 1–3 years of experience in documentation, verification, or file processing

- Past experience in banking or finance sector documentation will be considered excellent: KYC verification, loan or credit file processing, account opening, insurance operations, or similar back-office roles

- Experience in study abroad, admissions processing, or visa filing is equally welcome

- Working knowledge of Indian academic documents (CBSE, ICSE, and State Board marksheets, passing certificates, migration / transfer certificates) preferred; candidates from banking and finance will be trained

- Positive understanding of affidavits, notarisation, attestation, and identity document verification

- Exceptional eye for detail and accuracy — able to catch spelling, date, and figure errors that others miss

- Comfortable working on online portals, CRM systems, MS Excel / Google Sheets, PDF tools, and scanning software

- Fast and accurate data entry with a disciplined, update-as-you-go working style

- Good written and spoken English and Hindi; regional language will be an advantage

- Organised, deadline-driven, and able to handle high file volumes during peak admission season

- High integrity and a strong sense of ownership

- Graduate in any stream (Commerce graduates welcome)

What We Offer

- Salary of ₹20,000 – ₹30,000 per month, based on experience

- Stable, full-time role with an established international education organisation

- A move from routine banking back-office work into the international education sector

- Structured training on university, admission, and visa documentation requirements

- Growth path to Senior Documentation Executive / Team Lead for consistent performers
