Key Responsibilities

Store Operations

- Manage day-to-day operations of the Medical Store.
- Ensure systematic receiving, verification, storage, issue, and transfer of medicines and medical consumables.
- Ensure proper documentation of PO, GRN, indent, issue, return, and stock-transfer transactions.
- Maintain organized and traceable inventory systems.

Inventory Control

- Establish and monitor Reorder Level (ROL), Critical Stock Level (CRS), and Minimum/Maximum Stock Levels.
- Conduct regular physical stock verification and reconciliation with system records.
- Monitor fast-moving, slow-moving, non-moving, and critical items.
- Implement FIFO inventory practices.
- Monitor near-expiry and expired stock and ensure timely action.

Procurement & Vendor Coordination

- Coordinate with the Purchase Department and pharmacy for procurement requirements.
- Monitor pending purchase orders and ensure timely replenishment.
- Coordinate with approved vendors regarding supply, pricing, shortages, replacements, and returns.
- Support vendor performance evaluation and procurement analysis.

Audit & Compliance

- Maintain complete and accurate inventory documentation.
- Conduct periodic stock audits and investigate discrepancies.
- Ensure appropriate segregation and documentation of expired, damaged, recalled, and condemned items.
- Support internal and external audits and ensure timely corrective actions.

Team Management

- Supervise Medical Store/Pharmacy Store personnel and allocate daily responsibilities.
- Train staff regarding SOPs,



inventory handling, documentation, and storage requirements.
- Monitor staff performance and adherence to departmental procedures.

Reporting & MIS

- Prepare regular reports on stock position, consumption, expiry, shortages, excess stock, and inventory value.
- Analyze consumption patterns and support cost-control initiatives.
- Escalate stock discrepancies, critical shortages, and procurement concerns to management.

Quality & Process Improvement

- Develop and implement SOPs for indenting, procurement coordination, receiving, storage, issuing, returns, and condemnation.
- Strengthen inventory traceability and accountability.
- Identify opportunities to reduce wastage, expiry losses, stock-outs, and unnecessary inventory holding.

Qualification & Eligibility

- B.Pharm / D.Pharm / B.Sc / relevant qualification in Pharmacy, Healthcare, Materials Management, or related field.
- 3–5 years of relevant experience in hospital pharmacy, medical stores, or healthcare inventory management.
- Experience in hospital inventory management preferred.

Skills Required

- Strong inventory and materials-management skills.
- Excellent documentation and analytical abilities.
- Knowledge of pharmacy/medical consumables and hospital procurement processes.
- Solid vendor and team-management skills.
- Proficiency in MS Excel and hospital/ERP inventory systems.
- High level of accuracy, accountability, and process discipline.
