The Corporate Travel Manager/Officer will excel in both their travel management and administrative responsibilities, contributing significantly to the company's success by ensuring seamless travel experiences for employees. In addition to their travel-related responsibilities, this multifaceted position also includes a significant administrative executive role within the organization.
What You’ll Be Doing
Travel Management:
- Plan and coordinate employee domestic and international travel arrangements, including flights, accommodation, ground transportation, and other travel-related services.
- Collaborate with travel agencies and suppliers to negotiate favorable rates and secure the best travel options for the company.
- Stay updated on travel industry trends, regulations, and best practices to provide recommendations for enhancing the corporate travel program.
- Monitor and manage travel expenses to ensure compliance with budgetary guidelines.
Visa Processing:
- Facilitate the visa application process for employees traveling to the USA, Middle East, and APEC
- Provide guidance and support to employees in gathering the necessary documentation and completing visa application forms accurately.
- Liaise with embassies, consulates, and visa service providers to ensure timely processing of visa applications.
- Keep abreast of visa requirements, changes in immigration policies, and documentation procedures for different countries.
- Maintain records and documentation related to visa applications and ensure compliance with data protection regulations.
Travel Support:
- Serve as a point of contact for employees regarding travel-related inquiries, including itinerary changes, cancellations, and emergency assistance.
- Coordinate with travel insurance providers to ensure employees are adequately covered during their travels.
- Handle travel-related issues or disruptions, such as flight delays, cancellations, and lost baggage, and provide appropriate solutions.
- Maintain a strong network of contacts within the travel industry to address and resolve any travel-related challenges quickly.
Policy Compliance:
- Familiarize employees with the company's travel policies and procedures, ensuring their understanding and adherence.
- Assist in developing and updating corporate travel policies to meet changing regulations and business needs.
- Conduct regular audits and reviews of travel-related expenses to ensure compliance with company policies.
- Provide guidance and support to employees on policy-related queries and help resolve travel-related issues.
Admin Support:
- Managing routine purchases of office and Housekeeping consumables
- Managing Admin Support ticket system.
- Managing service providers and vendors
- Preparing Reports and maintaining budget for keeping track of expenses
What We’d Love To See
- Bachelor's degree in a relevant field or equivalent work experience.
- Proven experience in corporate travel management, including visa processing for international destinations
- In-depth knowledge of visa application procedures and requirements for the USA, Middle East and APEC
- Familiarity with travel management systems and online booking tools.
- Solid attention to detail and excellent organizational skills.
- Ability to work independently and handle multiple tasks simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in using travel-related software and tools.
- Knowledge of data protection regulations related to travel documentation.
- Flexibility to adapt to changing travel requirements and work schedules, including occasional after-hours support.
