Roles and Responsibilities of HR Head

Office Time:-9:00 AM – 5:30 PM

Reporting to:- Hon. Management

1. Overall HR Department Management

- Overall control, supervision, and administration of the HR Department.
- Develop, implement, and monitor HR policies, procedures, and guidelines.
- Ensure HR activities are aligned with hospital and college requirements and management decisions.
- Manage day-to-day HR operations and ensure smooth functioning of HR processes.
- Maintain proper coordination between HR, management, and all hospital departments.

2. Recruitment & Manpower Management

- Identify manpower requirements in coordination with department heads and management.
- Conduct recruitment processes as per departmental requirements and approved manpower plans.
- Obtain timely approval for total cadre-wise/department-wise manpower requirements from management, and ensure it is filled.
- Undertake the complete recruitment cycle, including:
- Candidate screening
- Interview coordination
- Selection process
- Joining formalities
- Maintain records of vacancies, recruitment status, and manpower requirements along with retention rate and attrition rate.
- Report staff availability and manpower requirements to Hon. Chairman Sir every 15 days.
- Prepare and maintain an updated employee directory.

3. Employee Joining & Onboarding Process

- Supervise the complete joining process of new employees.
- Ensure completion of joining formalities and documentation as per norms.
- Verify employee documents, including:
- Personal documents
- Educational certificates
- Registration certificates (where applicable)
- Other required records
- Ensure completion of:
- Joining forms
- Bank forms
- Biometric registration
- ERP registration
- Suvarna Software registration




- Coordinate departmental orientation and induction programs for new joiners.
- Ensure work orders are prepared and issued for recent employees.
- Coordinate with respective departments for smooth onboarding.
- Create onboarding/orientation and training schedules for each cadre in coordination with department heads.

4. Employee Records & Documentation Management

- Maintain and update employee records and HR documentation.
- Monitor and maintain the HR folder on Google Drive.
- Ensure proper documentation of:
- Joining records
- Resignation records
- Relieving records
- Experience letters (only with MS approval)
- Salary certificates/slop (only with MS approval)
- Employee communication
- Changes in designation, timings, departments etc.
- Salary related issues
- Ensure confidentiality and accuracy of employee information.
- Maintain employee databases and update changes regularly.

6. Staff Performance Monitoring & Employee Relations

- Monitor staff performance and coordinate performance review processes with heads. Conduct evaluation of employees 15 days after joining, and again after 1 month
- Support department heads in employee evaluation and improvement plans.
- Handle employee concerns, grievances, and workplace issues.
- Coordinate conflict resolution between employees and departments.
- Maintain positive employee relations within the organization.
- Create appraisal formats for yearly appraisals.

7. Salary,



Increment & Management Approvals

- Coordinate salary-related matters and employee compensation processes.
- Prepare proposals for:
- Salary revisions
- Staff increments
- Other employee-related financial matters
- Obtain necessary approvals from Hon. Management before implementation.

8. Compliance & HR Process Monitoring

- Ensure compliance with hospital HR policies and applicable regulations.
- Monitor completion of mandatory employee requirements.
- Alert management regarding changes in Government policies related to EPF, IT, PT and other matters linked to HR department.

9. Training & Orientation Coordination

- Identify training requirements in coordination with department heads.
- Coordinate staff training programs to improve skills and performance.
- Maintain training records and follow up on pending training activities.

10. Coordination with Other Departments

- Coordinate with department heads regarding:
- Staff requirements
- Attendance issues
- Performance concerns
- Employee-related matters
- Coordinate with Store Department for uniform distribution.
- Coordinate with IT Department for:
- ERP access
- Suvarna Software registration
- Biometric activation
- Coordinate for ID card generation and activation.

11. Attendance & Exit Management

- Monitor staff attendance-related issues and coordinate corrective actions.
- Maintain records of resigned employees.
- Prepare weekly reports of:
- New joiners
- Resigned employees
- Submit resignation details for biometric removal approval.
- Ensure proper completion of exit formalities.

Pay: ₹20,000.00 - ₹60,000.00 per month
