JD - Import Executive

We are looking for an experienced and detail-oriented Import Executive to manage and coordinate the complete import process, from placing purchase orders with overseas suppliers to customs clearance and final delivery at the company warehouse. The candidate should have good knowledge of import documentation, shipping procedures, customs clearance, and coordination with suppliers, freight forwarders, CHA, and internal teams.

Everyday Office Work

- Check and respond to emails and WhatsApp messages related to import activities.
- Prepare the Import Cost Sheet for every shipment.
- Maintain and organize all import-related documents properly in physical and digital files.
- Keep the PO-wise Import Tracking Sheet updated.
- Maintain proper records of suppliers, shipments, documents, BOE, payments, and expenses.

As & When Required – Import Process

- Inquire with overseas suppliers for material quotations.
- Compare quotations, negotiate prices and commercial terms, and finalize the supplier/order after approval.
- Prepare and issue the Purchase Order (PO).
- Record the expected material due date in the PO-wise tracking sheet.
- Follow up with the supplier in advance regarding material readiness. Once the material is ready, obtain the Packing List and cargo photographs from the supplier.
- Share the Packing List with Freight Forwarding (FF) agents and obtain freight quotations. Compare freight charges and coordinate for finalization.
- Follow up with the supplier and FF agent regarding cargo pickup and warehouse arrival status.
- Obtain cargo photographs from the FF agent wherever required. Follow up with the FF agent for ETD (Estimated Date of Departure)



and ETA (Estimated Date of Arrival). Once the ETD is confirmed, coordinate with the shipper for the required shipping and import documents.
- Ensure the Certificate of Origin (COO) and other required documents are received within the required timeline.
- Track the original documents until receipt.
- Coordinate with the Customs Broker for timely customs clearance.
- After the shipment is received, acknowledge receipt to the supplier through email.
- Coordinate with the concerned team for material inspection within 5 days of receipt.
- Obtain all applicable expense documents from the CHA within 3 days of shipment clearance, Verify import expenses and supporting documents before preparing the Import Cost Sheet.
- Make the required import entries in Tally.
- Maintain proper records of customs duty, freight, CHA charges, bank charges, and other import expenses.
- Coordinate with the Accounts Department regarding supplier payments and import-related payments.
- Ensure all import documents and payment records are properly filed for future reference and audit purposes.
- Update the Payment Due Date in the Payment List.
- Maintain a monthly status of pending shipments, payments, documents, and clearance matters.

Key Skills Required

- Good knowledge of Import Procedures and Documentation.




- Experience in dealing with overseas suppliers.
- Knowledge of Freight Forwarding and CHA coordination.
- Knowledge of Bill of Entry (BOE) and customs clearance process.
- Basic understanding of HSN/HS Codes, Customs Duty, IGST and import charges.
- Understanding of FOB, CIF, CFR, EXW and other Incoterms.
- Good knowledge of MS Excel and MS Office.
- Valuable email and WhatsApp communication skills.
- Strong follow-up and coordination abilities.
- Good negotiation and quotation-comparison skills.
- Ability to maintain accurate documentation and records.
- Ability to manage multiple shipments and deadlines simultaneously.

Preferred Experience

Candidates with experience in metal, alloy, engineering, manufacturing, industrial trading or import companies will be preferred.

Educational Qualification

Bachelor's Degree in Commerce, International Business, Supply Chain, Logistics, or a related field.

Experience

0- 1 years of relevant experience in Import / Purchase / Logistics / Supply Chain, preferably in the metal or engineering industry.

Pay: ₹22,000.00 - ₹35,000.00 per month
