Night Warehouse & Dispatch Executive

The Night Warehouse & Dispatch Executive will be responsible for managing and coordinating the complete night-time warehouse, inventory, invoicing, and dispatch operations. The role will ensure that all orders are accurately verified, invoiced, packed, loaded, dispatched, and properly recorded within the scheduled timelines.

The candidate will also be responsible for stock inward and outward movements, returns and damage handling, driver coordination, warehouse organization, system/Excel updates, daily operational reporting, and providing a clear and accurate handover to the morning team.

Key Responsibilities

1. Order Verification & Invoicing

- Verify customer orders before dispatch.
- Ensure correct quantities, products, and order details.
- Prepare and verify invoices and dispatch documents.
- Identify and resolve order or invoicing discrepancies before dispatch.

2. Warehouse & Dispatch Operations

- Manage day-to-day night shift warehouse and dispatch activities.
- Coordinate picking, packing, loading, unloading, and dispatch.
- Ensure all scheduled orders are dispatched accurately and on time.
- Maintain proper warehouse organization and stock placement.
- Ensure proper handling of products during loading and unloading.

3. Inventory & Stock Management

- Monitor stock inward and outward movements.
- Maintain accurate inventory records.
- Verify physical stock against system/Excel records.
- Identify stock shortages, excesses, damages, or discrepancies and report them immediately.
- Ensure proper documentation of stock movements.

4. Returns & Damage Handling

- Record and coordinate returned products.
- Check and document damaged, short, or incorrect stock.
- Maintain proper records of returns, damages, and replacements.
- Coordinate with the relevant team to resolve discrepancies.

5. Driver & Dispatch Coordination

- Coordinate with drivers regarding routes, loading, dispatch schedules, and delivery requirements.
- Ensure drivers receive the correct invoices, dispatch documents,



and order details.
- Monitor dispatch status and address operational issues during the night shift.

6. System & Documentation

- Update inventory, dispatch, invoicing, and operational records in the system/Excel.
- Maintain accurate records of all night-time transactions and activities.
- Prepare daily night shift operational reports.
- Ensure all documents and records are properly maintained for the morning team.

7. Reporting & Handover

- Prepare a explicit end-of-shift handover report.
- Highlight pending orders, stock discrepancies, damages, returns, delivery issues, and other operational concerns.
- Ensure the morning team has complete information regarding the previous night's operations.

8. Safety & Compliance

- Ensure safe handling of products and warehouse materials.
- Follow warehouse safety and operational procedures.
- Maintain cleanliness, discipline, and proper organization within the warehouse.
- Report any safety, operational, or stock-related issues immediately.

Desired Candidate Profile

- Previous experience in warehouse, dispatch, logistics, inventory, or night operations.
- Good knowledge of warehouse and dispatch processes.
- Comfortable working night shifts.
- Basic to good knowledge of MS Excel and computer systems.
- Good numerical and record-keeping skills.
- Strong coordination and communication skills.
- Ability to identify and resolve operational discrepancies.
- Ability to work independently and manage multiple activities during the night shift.
- Experience in FMCG, food, dairy, or other fast-moving consumer goods operations will be an advantage.

Experience

2–5 years in Warehouse / Dispatch / Logistics / Inventory Operations.

Pay: ₹15,000.00 - ₹20,000.00 per month
