Job Summary

We are looking for a responsible and detail-oriented Admin Executive to manage day-to-day administration, statutory and internal compliance coordination, security, access control, facility management, and workplace discipline. The person will ensure that the office/factory premises remain safe, secure, compliant, and well-maintained.

Key Responsibilities

1. Compliance & Documentation

- Maintain and update all administrative and compliance-related records.
- Coordinate with HR, accounts, consultants, and external agencies for statutory compliance requirements.
- Maintain compliance calendars and ensure timely renewals, submissions, and documentation.
- Maintain licenses, registrations, insurance, contracts, certificates, and other required documents.
- Coordinate for labour, factory, fire, safety, pollution, and other applicable inspections.
- Ensure compliance-related notices, registers, and records are properly maintained.
- Track expiry dates of licenses, AMC contracts, certificates, and statutory documents.

2. Security & Access Control

- Manage overall security arrangements at the premises.
- Supervise security guards and coordinate with the security agency.
- Maintain employee, visitor, vendor, and vehicle entry/exit records.
- Ensure proper visitor management and issue visitor passes.
- Monitor access control, CCTV, gate passes, and security protocols.
- Conduct regular security checks of the premises.
- Ensure proper opening and closing procedures are followed.
- Report security incidents, unauthorized access, theft, or safety concerns immediately to management.

Fire & Safety

- Ensure fire safety equipment and emergency systems are regularly checked and maintained.
- Coordinate fire extinguisher servicing, fire drills, emergency preparedness, and related documentation.
- Ensure emergency exits, fire exits, signage, and access routes remain clear.
- Maintain records of fire and safety inspections.
- Coordinate with relevant agencies for fire and safety compliance.

4. Facility & Office Administration

- Manage housekeeping, pantry, maintenance, security, and other facility-related activities.
- Coordinate repairs and maintenance of office/factory infrastructure.
- Monitor electricity, water, housekeeping, pest control, and other facility services.
- Manage AMC/service providers and ensure timely completion of work.
- Maintain proper administrative supplies and inventory.
- Coordinate with vendors and service providers for routine requirements.

5. Employee & Workplace Administration

- Ensure adherence to company administrative policies and workplace discipline.
- Manage gate passes, visitor movement, employee access, and other administrative controls.
- Support HR with attendance-related administrative requirements where needed.
- Coordinate employee ID cards, access cards, lockers, parking, and other facilities.




- Address routine employee administrative queries.

6. Vendor & Agency Management

- Coordinate with security, housekeeping, maintenance, pest control, fire safety, and other service agencies.
- Verify vendor attendance and service performance.
- Maintain contracts, quotations, invoices, and service records.
- Ensure vendors follow company safety and security protocols.

7. Reporting & Audit

- Prepare daily/weekly/monthly administration and security reports.
- Maintain records for internal and external audits.
- Conduct regular checks of premises, facilities, and compliance documentation.
- Identify gaps and coordinate corrective actions.
- Escalate critical compliance, security, or safety issues to management.

Required Skills

- Good knowledge of office/factory administration and compliance coordination.
- Understanding of security and facility management.
- Good documentation and record-keeping skills.
- Robust coordination and follow-up skills.
- Good communication and interpersonal skills.
- Ability to manage security guards, housekeeping staff, and vendors.
- Basic knowledge of MS Excel, Word, and email.
- Strong attention to detail and ability to handle confidential information.
- Ability to handle emergencies and resolve administrative issues promptly.

Preferred Experience

- Experience in manufacturing, factory, warehouse, retail, or corporate administration will be preferred.
- Candidates with experience handling security, compliance, fire & safety, facility management, and statutory documentation will be an advantage.

Pay: ₹35,000.00 - ₹45,000.00 per month
