Position Summary

The Interview Specialist supports the hiring process by coordinating interviews, managing temporary staffing requests, and serving as a liaison between candidates, hiring managers, Talent Acquisition, and staffing agencies.

This role is responsible for ensuring a smooth and timely interview scheduling process, maintaining accurate staffing records, and supporting temporary workforce fulfillment. The Interview Specialist contributes to a positive candidate and hiring manager experience through effective communication, organization, and follow-through.

Key Responsibilities:

Interview Coordination

- Conduct phone interviews and document candidate responses, effectively screening candidates in or out of the recruitment process based on position requirements.
- Determine whether candidates move forward to the next step in the hiring process.
- Schedule interviews for hourly positions across designated locations and coordinate availability between candidates and hiring managers.
- Communicate interview details, confirmations, updates, and follow-up information via phone, text, and email.
- Rescheduling interviews as needed to accommodate changing business needs.
- Update candidate statuses and maintain accurate interview records within the appropriate recruitment systems (UKG).
- Track interview attendance and escalate scheduling concerns when appropriate.
- Answer incoming candidate inquiries and provide requested information or assistance.
- Support efforts to improve candidate interview attendance, engagement, and overall candidate experience.
- Demonstrate the Company's Core and Growth Values in the performance of all job functions.

Temporary Staffing Administration

- Create and process temporary labor work orders.
- Obtain required approvals prior to work order activation.
- Coordinate staffing requests with approved staffing agencies.
- Monitor work orders from submission through fulfillment.
- Maintain accurate documentation of temporary staffing activity.
- Track open and filled with temporary staffing requests.





Staffing Agency Coordination

- Serve as the primary point of contact for staffing vendors.
- Communicate staffing requirements and timelines.
- Follow up on candidate submissions and placement status.
- Maintain professional working relationships with agency partners.
- Escalate fulfillment concerns when staffing needs are not being met.

Reporting and Administration

- Maintain accurate recruiting and staffing records.
- Provide routine staffing updates to Talent Acquisition leadership.
- Monitor key operational metrics, including:
- Interview scheduling turnaround time
- Candidate show rates
- Temporary staffing fill rates
- Work order processing accuracy
- Assist with reporting and data audits as requested.

Requirements & Qualifications:

- High school diploma or equivalent, Required
- 5-9 year of experience in a business, office, or customer service environment, Required
- Basic understanding of Human Resources principles
- Strong attention to detail
- Excellent verbal and written communication skills
- Excellent interpersonal skills
- Effective time management and organizational skills
- Analytical and problem-solving skills
- Maintain confidentiality
- Working knowledge of Continuous Improvement
- Proficient computer skills, including experience with Microsoft Office Suite, internet, and document management systems
- Ability to handle multiple projects simultaneously within established time constraints
- Ability to work independently as well as in a team workplace
- Ability to perform under strong demands in a fast-paced environment
- Respond professionally to candidate interviews and inquiries
- Display empathy, understanding, and patience with employees and external customers
- Work professionally with customers and co-workers to efficiently serve customers while treating all individuals with enthusiasm and respect

Shift: Night Shift – 6:30 PM - 3:30 AM.

Mode: Should be willing to work 5 days a week at Office but as of now Hybrid – 2 days WFH, 3 days WFO.

Notice Period: Available to start immediately – under a notice period of max 15 days
