Role Overview The Vice President – Projects will lead and oversee the complete project lifecycle for the organization's hotel developments, new openings, renovations, refurbishments, expansions, and major capital projects across India.

The role will be responsible for project planning, design, budgeting, consultant management, construction, procurement coordination, quality, timelines, cost control, statutory approvals, and project handover, ensuring that projects are delivered within approved budgets, timelines, quality standards, and brand requirements.

The position will work closely with the Management, Operations, Finance, Procurement, Design Consultants, Architects, Contractors, Project Management Consultants (PMCs), Engineers, and Hotel General Managers.

KEY RESPONSIBILITIES1. Project Strategy & Planning

- Develop and implement the overall project strategy for new hotels, renovations, expansions, and refurbishment projects.
- Evaluate project feasibility, scope, timelines, estimated costs, and resource requirements.
- Prepare project plans, milestones, budgets, and execution strategies.
- Establish project governance, reporting structures, approval processes, and timelines.
- Ensure projects are aligned with the organization's business objectives and hotel operating requirements.

1. Current Hotel Development & Pre-Opening Projects

- Lead end-to-end development of current hotel projects from concept to operational handover.
- Coordinate feasibility, site assessment, design development, construction, procurement, commissioning, and opening.
- Ensure project timelines are aligned with the planned hotel opening date.
- Coordinate with Operations and Pre-Opening teams to ensure timely readiness of all departments.
- Ensure rooms, F&B; outlets, public areas, back-of-house areas, staff facilities, kitchens, MEP services, and other operational areas are delivered as per approved requirements.

1. Design & Architectural Management

- Oversee the appointment and management of architects, interior designers, consultants, PMC and specialist agencies.
- Review and approve design concepts, layouts, drawings, specifications, and material selections.
- Ensure designs meet hotel brand standards, functionality, aesthetics, guest experience, and operational requirements.
- Coordinate design reviews and resolve design-related issues.
- Ensure design changes are properly documented, evaluated, and approved.

1. Construction & Execution

- Oversee construction activities across all assigned projects.
- Monitor project progress against approved schedules and milestones.
- Conduct regular site visits and project review meetings.
- Ensure contractors and consultants adhere to approved drawings, specifications, quality standards, and timelines.
- Identify project delays, risks, bottlenecks, and dependencies and ensure timely corrective action.
- Ensure proper coordination between civil, architectural, interior, MEP, kitchen, IT, security, and other specialist works.

1. Project Budget & Cost Management

- Develop and manage project budgets and CAPEX.
- Monitor project expenditure against approved budgets.
- Review BOQs, estimates, tenders, quotations, and cost proposals.
- Identify opportunities for cost optimization without compromising quality or operational requirements.
- Ensure all major variations and additional costs are properly evaluated and approved.




- Coordinate with Finance to monitor project cash flow and CAPEX utilization.

1. Vendor, Contractor & Consultant Management

- Identify, evaluate, appoint, and manage contractors, consultants, architects and specialist agencies in coordination with Procurement and Management.
- Negotiate project-related commercial terms where applicable.
- Monitor contractor performance, work quality, progress, and compliance.
- Ensure contractual obligations, milestones, payment terms, and deliverables are adhered to.
- Address performance issues and escalate critical matters to Management.

1. MEP & Engineering Coordination

- Oversee MEP planning and execution including:
- Electrical systems
- HVAC
- Plumbing
- Fire & Life Safety
- STP / WTP
- DG and power systems
- BMS
- ELV systems
- Lifts
- Kitchen equipment and services
- Ensure MEP systems are designed and installed according to applicable standards and hotel operational requirements.
- Coordinate testing, commissioning, snagging, and final handover.

1. Procurement & Material Management

- Coordinate with Procurement to ensure timely sourcing and delivery of project materials and equipment.
- Review specifications, samples, mock-ups and technical requirements.
- Ensure long-lead items are identified and ordered well in advance.
- Monitor procurement schedules against project timelines.
- Ensure material quality and specifications are aligned with approved standards.

1. Quality Control

- Establish and monitor quality standards across projects.
- Ensure construction and installation work complies with approved drawings and specifications.
- Conduct regular quality reviews and inspections.
- Ensure mock-ups, samples, prototypes and material approvals are completed before execution.
- Ensure all defects and snags are identified and closed before handover.

1. Project Timelines & Monitoring

- Develop detailed project schedules and milestone plans.
- Monitor project progress through regular MIS and review meetings.
- Track critical path activities and identify potential delays.
- Establish recovery plans for delayed projects.
- Provide regular project status reports to Senior Management.
- Ensure timely escalation of critical project risks and deviations.

1. Statutory Approvals & Compliance

- Coordinate with relevant consultants and authorities to ensure required approvals are obtained.
- Monitor compliance with applicable building, fire, environmental, municipal and other statutory requirements.
- Ensure projects comply with applicable safety standards and regulations.
- Maintain proper records of approvals, NOCs, certificates and statutory documentation.

1. Renovation & Refurbishment Projects

- Lead hotel renovation and refurbishment projects while minimizing disruption to ongoing hotel operations.
- Prepare phased execution plans for operational properties.
- Coordinate closely with the General Manager and Operations team regarding shutdowns and work schedules.
- Ensure guest-facing areas, rooms, restaurants, banquet spaces, kitchens and back-of-house areas are completed as per approved timelines.
- Ensure proper handover of renovated areas to Operations.

1. Project Handover & Commissioning





- Establish structured handover procedures for completed projects.
- Ensure completion of snagging and rectification before handover.
- Verify as-built drawings, warranties, manuals, certificates and other project documentation.
- Coordinate testing and commissioning of all systems.
- Ensure Operations and Engineering teams receive proper training and documentation.
- Ensure final project handover is completed within approved timelines.

1. Risk Management

- Identify project risks related to cost, timelines, design, approvals, contractors, procurement, quality and execution.
- Develop mitigation and contingency plans.
- Monitor critical risks throughout the project lifecycle.
- Ensure timely escalation of issues that may impact project cost, quality or opening timelines.

1. Leadership & Team Management

- Lead the Projects team across multiple locations.
- Define responsibilities, deliverables and performance expectations.
- Mentor and develop project managers, engineers and project team members.
- Build strong coordination between Corporate Projects and hotel Operations teams.
- Ensure accountability and timely execution across all projects.

1. Management Reporting

- Present regular project updates to Senior Management.
- Provide reports covering:
- Project progress
- Budget vs. actual expenditure
- Project timelines
- Key milestones
- Procurement status
- Quality issues
- Risks and delays
- Variations
- Approvals
- Critical decisions required
- Provide recommendations to Management on project-related commercial and operational matters.

QUALIFICATION
- Bachelor's degree in Civil Engineering / Architecture / Construction Management / Project Management.
- Master's degree in Project Management / Construction Management / Business Administration is preferred.

EXPERIENCE
- 15–20+ years of overall experience in Projects / Construction / Development.
- Strong experience in the Hospitality / Hotel / Real Estate / Commercial Development sector.
- Proven experience managing multiple large-scale projects simultaneously.
- Experience in new hotel development, hotel renovations, refurbishment and fit-out projects is highly preferred.
- Experience managing projects across multiple cities/locations will be an advantage.
