U.S. Construction Procurement Specialist – Residential | Part-Time

Position Overview

Sunshine Management is seeking an experienced U.S. Construction Procurement Specialist to independently manage procurement for our active U.S.-based residential construction and development projects.

This is a senior, hands-on position requiring immediate ownership from Day 1 . We are seeking someone who already knows how to build and operate an effective construction procurement function.

This is not a training or developmental position.

The successful candidate will receive construction plans, scopes and material takeoffs from our Estimator and work directly with Project Management and Administration to source materials and trades, obtain and level quotations, negotiate pricing and terms, manage purchasing and deliveries, and proactively identify procurement risks.

Just as importantly, this person must implement the systems, processes, controls, technology and AI tools needed to operate procurement efficiently across multiple projects.

Responsibilities

- Independently manage procurement activities across multiple U.S. residential construction projects.
- Review material takeoffs, scopes, specifications and construction documents for procurement completeness.
- Develop procurement packages and RFQs from approved takeoffs and scopes.
- Identify, qualify and maintain relationships with U.S.-based suppliers, manufacturers, distributors and subcontractors .
- Solicit multiple competitive quotations for materials and applicable trade packages.
- Analyze and level quotations to ensure pricing comparisons include equivalent scope, quantities, specifications, freight, taxes, lead times and terms.
- Negotiate pricing, lead times, payment terms, substitutions and other commercial terms.
- Prepare procurement recommendations for Project Manager approval.
- Coordinate preparation and processing of purchase orders.
- Maintain procurement schedules tied to required-on-site dates and construction schedules .
- Identify and actively manage long-lead materials before they affect construction.




- Track orders from approval through manufacturing, shipping and final delivery.
- Resolve shortages, damaged materials, incorrect shipments, backorders and delivery delays.
- Identify acceptable alternatives and substitutions when availability or lead times create project risks.
- Identify cost-saving opportunities and support value engineering.
- Track estimated cost, quoted cost, committed cost and actual procurement cost.
- Maintain organized vendor, supplier and historical pricing databases.
- Monitor supplier performance, pricing, responsiveness, lead times and delivery reliability.
- Proactively communicate procurement risks and recommended solutions before they affect project cost or schedule.

Systems, Processes & AI A major responsibility of this position is to build and implement Sunshine Management's procurement operating system , not simply work from an existing process. The successful candidate must independently implement:

- Standard procurement workflows from takeoff → RFQ → bid leveling → approval → PO → delivery → cost tracking
- Procurement package and RFQ templates
- Bid-leveling standards and comparison tools
- Vendor and supplier databases
- Historical pricing databases
- Procurement schedules and long-lead trackers
- Required-on-site date tracking
- Purchase-order controls and approval workflows
- Delivery, shortage, damage, backorder and return tracking
- Vendor-performance tracking
- Procurement KPIs and management dashboards
- Cost-savings and procurement-variance reporting
- Document-control standards for quotations, approvals and purchase orders
- Quality-control checkpoints to prevent missed materials, duplicate orders, incorrect quantities and unauthorized purchases
- AI and automation tools that improve sourcing, quote analysis, vendor comparison, procurement tracking, reporting and workflow efficiency





Candidates should be prepared to explain what systems they have personally implemented previously and what they would implement at Sunshine Management during their first 30 days.

Required Qualifications

- 5+ years of construction procurement, purchasing or supply-chain experience.
- Demonstrated professional experience supporting U.S. construction projects.
- Strong preference for direct U.S. residential construction procurement experience.
- Experience sourcing and communicating directly with U.S. construction suppliers and vendors.
- Proven experience preparing RFQs, obtaining competitive quotations and performing bid leveling.
- Demonstrated experience negotiating supplier pricing, lead times and commercial terms.
- Experience managing purchase orders and procurement through final delivery.
- Robust understanding of construction materials, specifications, scopes and procurement sequencing.
- Ability to understand construction drawings, material takeoffs and specifications sufficiently to independently procure the required materials.
- Experience managing long-lead items and procurement schedules.
- Strong Excel skills and experience with procurement/project-management technology.
- Demonstrated experience creating and implementing procurement systems and processes.
- Demonstrated professional use of AI, automation or technology to improve procurement or operational workflows.
- Strong written and verbal English communication.
- Ability to work independently with minimal supervision.
