About the Role
Acro Service Corporation (Acro) is seeking an experienced Proposal Specialist to join its Bid and Proposal team, supporting Acro's US staffing, MSP, VMS, and workforce solutions business from India.
The Proposal
Specialist is a hands-on individual contributor and full member of the proposal team, responsible for managing assigned Complex and Express RFx opportunities from initial review through final submission. This is a fast paced, high ownership role covering the full response lifecycle, from initial solicitation assessment and Go No Go input through response planning, strategy sessions, content development, reviews, and final compliance and submission.
Complex RFx are large, formal solicitations, typically from state and local governments and large commercial buyers, that require a full response plan, strategy sessions, and multiple contributors. Express bids are smaller, quick turn solicitations that one person can typically assess, assemble, and submit within a few days.
The role calls for strong project management, judgment, and follow through: anticipating what is needed next, following up independently with contributors, and moving assigned responses forward without continuous direction, while working within Acro's proposal SOPs and escalating when a leadership decision is required. Solicitations carry strict compliance and submission requirements, and a single missed instruction can disqualify a bid, so close reading and attention to detail are essential.
Responsibilities
1. Manage assigned Complex and Express RFx responses from beginning to end. Review the solicitation, build the compliance checklist and response plan, coordinate meetings and inputs, develop the response from approved Acro content tailored to the issuer's requirements, and drive it through final submission.

Contribute to Go No Go and response strategy. Conduct the initial opportunity review, facilitate assigned strategy discussions, and recommend relevant Acro capabilities, experience, and proof points.
3. Apply proposal and workforce solutions expertise. Build working knowledge of Acro's staffing, MSP, VMS, RPO, technical and consulting, and related services; use standard content only where it actually answers the requirement; and escalate pricing, contractual, legal, or significant solution decisions to the appropriate owner.
4. Project manage assigned responses within the proposal SOP. Own timelines, dependencies, reviews, and approvals; anticipate bottlenecks; and apply the team's checklists, templates, and quality controls consistently.
5. Manage proposal meetings and SME contributions. Facilitate kickoff, strategy, working, and review sessions, and obtain complete input from leadership, business development, operations, finance, legal, and subject matter experts, following up persistently until it is received.
6. Develop, tailor, and integrate proposal content. Draft and edit clear, accurate, persuasive content aligned to the evaluation criteria, and integrate input from multiple contributors into one consistent response.
7. Ensure compliance, quality, and submission readiness. Track every mandatory requirement, form, and submission instruction, and conduct thorough final compliance and quality reviews before submission.
8. Track and interpret solicitation changes. Monitor amendments, addenda, and Q&A;, summarize their impact, and update the response accordingly.

Maintain proposal content, references, and document control. Keep proposal content, templates, references, and past performance current, and maintain SharePoint organization, version control, and RFx Tracker status for assigned bids.
10. Support continuous improvement and team priorities. Recommend practical process and content improvements, contribute to business development collateral, and collaborate on other team responses during peak periods.
Requirements
- Demonstrated experience managing bids or proposals from solicitation review through content coordination, compliance, production, approvals, and final submission.
- Ability to manage both quick turn and complex responses with multiple stakeholders, competing priorities, and shifting deadlines.
- Experience facilitating proposal kickoff, strategy, and review meetings and converting decisions into actions and content.
- Robust critical thinking and judgment, with the ability to interpret requirements and evaluation criteria, identify gaps and risks, and recommend practical next steps.
- Excellent written English with strong writing, editing, and proofreading skills, and the ability to adapt tone and level of detail to different buyers.
- Demonstrated attention to detail, including experience with compliance matrices and formal submission requirements.
- Strong stakeholder management skills, including the ability to obtain information from busy subject matter experts and drive accountability respectfully.
- Advanced proficiency in Microsoft Word, including styles, tables, and templates, and working proficiency in Excel, PowerPoint, and SharePoint.
- Ability to work U.S. Eastern business hours and communicate clearly and promptly with U.S. based colleagues.
- Familiarity with U.S. government procurement portals, SAM.gov, and cooperative contracts is strongly preferred.
